Sales & Events Coordinator
About the role
The Sales Coordinator supports the Sales and Events team by managing the administrative and operational components of the sales process. This role is responsible for maintaining accurate systems, coordinating sales activities, and ensuring a high standard of service throughout the client lifecycle. The role requires a highly organized, effective communicator who thrives in a fast-paced environment.
Responsibilities
- Support the Sales and Events team by managing and coordinating all administrative aspects of the sales process, including lead distribution, proposal preparation, and client correspondence to ensure timely and professional responses that align with departmental goals
- Maintains and owns accurate and up-to-date records across all sales and property systems, including CRM (Salesforce/Delphi/Tripleseat) and PMS platforms, ensuring proper management of group bookings, room blocks, client profiles, and billing details to support revenue generation and reporting accuracy
- Cook up and manage client and operational needs by acting as a liaison between Sales and internal departments (Front Office, F&B, Operations), ensuring all group and event details are clearly communicated and executed to deliver a seamless guest experience
- Track and manage key sales deadlines, including contracts, deposits, rooming lists, and pick-up milestones, ensuring compliance with hotel policies and supporting the team in maximizing revenue opportunities
- Aid with site inspections, client visits, walk-throughs, and in-house events by preparing materials, coordinating logistics, and supporting the overall client experience to enhance conversion and client satisfaction
- Prepare and distribute sales reports, event documentation, and communication materials, including weekly event packets, group resumes, and production reports, to ensure alignment across teams
- Support planning, set up, and execution of in-house events and VIP experiences
- Aid in maintaining sales collateral, proposal templates, and marketing materials, ensuring all content reflects current offerings and brand standards
- Participate in weekly sales meetings and other required operational meetings contributing to team alignment, communication, and overall sales strategy execution
- Maintain knowledge of hotel policies, safety standards, and operational procedures, and provide support to leadership with administrative tasks and special projects as needed
Qualifications
At least 1 year of experience in hotel sales, events, or hospitality
Previous hotel or customer-facing experience preferred
Market knowledge preferred
Experience in using MS Office (MS Excel and MS PowerPoint, in particular) and Outlook as well as Lanyon/Cvent, TEAMS, Delphi, Tripleseat and Opera
Physical Requirements: Must be able to seize, grasp, turn and hold objects with hands. Fast-paced movements are required to go from one part of the club to others. Must be able to move, pull, carry, or lift at least 20 to 60 pounds. Occasionally kneel, bend, crouch and climb as required. Must be able to use step ladder
