About the role

The Sales and Catering Coordinator assists the Sales, Catering, Event Management, and additional hotel teams in obtaining customer satisfaction through clerical and administrative duties. Duties may include light selling, event detailing, and other operational requests.

Responsibilities

  • Approach all encounters with guests and employees in a friendly, service-oriented manner
  • Maintain regular attendance and adhere to hotel standards
  • Maintain high standards of personal appearance and grooming
  • Maintain Sales/Catering files in an organized fashion
  • Process contracts, proposals, and general correspondence for sales/catering staff
  • Process and distribute event orders, banquet checks, revisions, guarantees, event reports, group resumes, and Daily Event Sheets for the Events Team
  • Answer phones for sales/catering staff and record messages
  • Qualify incoming inquiry calls and ensure all inquiries are dealt with accurately, timely, and professionally
  • Assist managers on creative projects including proposals, direct mail pieces, invitations, special events, etc.
  • Work with Events Team on detailing upcoming functions, obtaining guarantees, confirming arrangements, etc.
  • Absorb small changes, requests, and complete needed paperwork for Managers
  • Enter group leads, build opportunities and quotes in CI/TY
  • Maintain timely and effective paper flow and communication within department and to other departments
  • Coordinate and prepare EO for special events as directed by the team
  • Maintain constant paper flow of thank you letters for groups/functions and distribute accordingly to departments and maintain in files
  • Monitor/Order office supplies and sales collateral to ensure proper stock
  • Organize in-house deliveries, amenities, welcome letters, transportation schedules, etc. as needed
  • Cookbook / service restaurant inquiries for private events in one of the hotel's three (3) restaurants
  • Support the Sales and Marketing efforts of the hotel as well as any other items as needed by the entire management staff

Requirements

  • Educational Background: High school diploma or equivalent, Associate Degree from 2-year college, or two to three years of related experience
  • Hotel management training and reservations training desired
  • Strong computer skills including excellent knowledge of Word and Excel software programs
  • Proficiency in one or more of the following systems: Marriott CI/TY & Opera preferred
  • Attention to detail, accuracy, and speed to meet deadlines
  • Multi-tasking, prioritizing, organizing, delegating work, and following through
  • Analyzing and resolving problems
  • Knowledge of market trends, competition, and key customers of the hotel
