Sales Assistant
Overview
In this role, responsibilities will include providing member service and sales support for the Investment & Insurance Services group for the organization. This person will support the below locations: Castro Valley (home branch), San Francisco Main, San Francisco Sunset, Oakland Webster, Oakland City Center, San Ramon, and Danville.
Responsibilities
- Coincides with Financial Advisors and branch staff on referral reports, meetings, and other investment and financial services related training.
- Conducts research on client and security information while maintaining and updating members' brokerage accounts, securities, and mutual funds.
- Researches and follows-up on client documentation for proper maintenance of the accounts.
- Analyzes reports and statements to determine and offer appropriate solutions, options, and resources to members, Financial Advisors, and staff.
- Prepares letters, forms, and spreadsheets to assist with servicing existing clients and prospecting for new clients.
- Ensures overall professional appearance, including work area, over the phone or in face-to-face contact with members, other employees, or vendors.
- Follows up on any appointment leads (branch referrals, website, seminars, etc.).
- Calls clients and prospects and makes appointments for the representative.
- Processes incoming client mail, paperwork, and other items to support the representative.
- Aids the representative with back to representative service items.
- Maintains the representative’s calendar.
- Performs service duties for the representative, which may include monitoring assigned representatives’ emails and voicemails for follow-up items, which may include prioritizing emails and voice mails, scheduling related appointments, and/or conducting the necessary follow-up to the emails or voice mails.
- Works with compliance to administer and track any advertising approvals as needed.
- Prompts for clients within clearly defined markets.
- Manages scheduling, planning, and tracking of attendees for seminars and workshops.
- Aids the Financial Advisor with travel arrangements and other travel-related items.
- Fosters and supports relationships with clients.
- Listens effectively and empathetically to Financial Advisor, prospects, and clients, gathering facts, making written notes when appropriate, and analyzing total needs of the client or representative.
- Works closely with other personnel and assistants to build programs.
- Supports the entire program and pitches in when other assistants are out, if applicable.
- Sets and keeps consistent office hours.

Qualifications
- AA degree in Business preferred or equivalent.
- At least two (2) years of job-related work experience.
- Occasional travel to branch locations.
- Must have a valid CA Class C license.
- Familiarity with financial and investment terms, products, and markets preferred.
- Proficient in MS applications such as Word, PowerPoint, Excel.
- Proficient in Financial program software such as Unio or NetX Pro.
- Strong communication skills/proficiency.
- Bilingual (English/Spanish), in both written and oral, a plus.
Target Base Pay
$29.50 / hr
