About the Role

Reports to the Practice Manager and works under the direction of the Clinical Supervisor, Office Supervisor, and/or Clinic Coordinator. Responsible for facilitating patient office visits supporting the health care team by coordinating patient visits, including rooming patients, completing pre-examination record information, verifying patient demographics, and managing the flow of patient materials. Performs various clerical and basic clinical patient care duties under general supervision and according to established policies and procedures.

Responsibilities

Clerical Duties

  • Receiving and greeting all patients and visitors in a professional manner and providing all reasonable assistance.
  • Receiving telephone calls, taking and relaying messages accurately.
  • Obtaining information from the patient to accurately complete the patient record for payment information, computer input, etc.
  • Maintaining patient files, charts, and records.

Patient Care Duties

  • Effectively escorting patients through the practice to assigned rooms.
  • Performing basic clinical care: vital signs and body measurements.
  • Entering data into the electronic medical record (or any other patient record).
  • Recording medical history.
  • Preparing patients for examination.
  • Cleaning and disinfecting exam rooms and equipment to ensure room turnover.
  • Checking and maintaining supply of stock in exam rooms.
  • Preloading patient information into the EMR, including diagnostic testing, health maintenance, and past surgical history.

Professional Development and Organizational Responsibilities

  • Attending required meetings and participating in committees as requested.
  • Enhancing professional growth and development through in-service meetings and educational programs as approved.
  • Completing other job-related duties and projects as assigned.
  • Complying with organizational requirements, including:
    • Attending and participating in department meetings and being accountable for all information shared.
    • Completing mandatory education, annual competencies, and department-specific education within established timeframes.
    • Completing annual employee health requirements within established timeframes.
    • Maintaining license/certification and registration in good standing throughout the fiscal year.
    • Maintaining current BCLS (CPR) and other certifications as required by position/department.
    • Consistently utilizing appropriate universal precautions, protective equipment, and ergonomic techniques to protect patients and self.
    • Adhering to regulatory agency requirements, survey processes, and compliance.
    • Complying with established organization and department policies.
    • Being available to work overtime in addition to working additional or other shifts and schedules when required.

Requirements

  • High school diploma or equivalent is required.
  • Minimum age of 17 years.
  • Previous medical office experience and the ability to speak and write Spanish are desired.

Skills

  • Demonstrates knowledge of and competency in performing patient care procedures, observations, treatments, and techniques utilized by the facility.
  • High level of interpersonal and communication skills necessary to consistently receive and greet visitors, clients, and staff members in a professional manner.
  • Well-developed communication skills to effectively and clearly communicate with a variety of internal and external contacts.
  • Analytical skills necessary to solve patient problems and interpret data.
  • Promotes collaboration and innovation in clinical services to ensure an interdisciplinary approach to improving health care delivery and the quality of patient care.

Working Conditions

  • Works in a physician office environment.
  • May require lifting or positioning of patients.
  • Flexible hours and work schedule required.

Physical Demands

  • Requires the physical ability and stamina to walk/stand for prolonged periods of time.
  • Ability to push carts/wheelchairs and lift at least 50 pounds.
  • Ability to position/lift patients of various sizes and weights.
