Duties and Responsibilities
- Customer Experience
- Provide an outstanding customer experience to all residents, prospective residents, vendors, and guests.
- Act as the primary point of contact for residents, addressing inquiries, requests, concerns, and escalated situations in a prompt and professional manner.
- Build positive and professional relationships with residents to promote long-term satisfaction and retention.
- Ensure resident concerns are resolved with urgency, professionalism, and follow-through.
- Maintain professionalism during difficult conversations while balancing empathy, accountability, and policy enforcement.
- Represent Millan Enterprises professionally and consistently uphold company values and standards.
- Financial Management
- Allocate and process payments including rent, fees, utility charges, and other resident transactions accurately and timely.
- Monitor delinquency reports and assist with collections, notices, payment arrangements, and eviction coordination when necessary.
- Prepare and maintain accurate records of tenant communications, lease agreements, financial transactions, and operational reporting.
- Conduct market analysis reports for available properties and lease renewals, recommending rent adjustments as appropriate.
- Assist with budgeting, occupancy reporting, and expense monitoring as requested.
- Ensure all documentation and financial records are organized, complete, and audit-ready.
- Tenant Relations
- Develop and implement strategies that enhance resident satisfaction and foster a positive community atmosphere.
- Conduct lease renewal discussions with residents, emphasizing the value of remaining within the community while addressing concerns professionally.
- Manage resident communication proactively and consistently to improve overall retention and satisfaction.
- Assist in resolving resident disputes, complaints, and conflicts professionally and efficiently.
- Maintain confidentiality regarding residents, company operations, and financial matters.
- Leasing and Marketing
- Responsible for leasing available units, including prospect communication, property tours, application processing, lease preparation, and move-in coordination.
- Develop and implement leasing strategies to maximize occupancy and minimize vacancy loss.
- Conduct comparative market analyses to ensure competitive and profitable rental pricing.
- Maintain accurate online listings, marketing materials, and property advertisements.
- Conduct property tours professionally while accurately presenting rental rates, amenities, and community expectations.
- Follow up consistently with prospective tenants to improve leasing conversion rates.
- Property Inspections and Maintenance
- Conduct regular inspections of properties, common areas, vacant units, and grounds to identify maintenance needs, safety concerns, and curb appeal opportunities.
- Oversight maintenance requests and follow up to ensure repairs are completed in a timely and satisfactory manner.
- Cookordination with maintenance, construction, and vendor teams to support efficient property operations and unit turns.
- Walk or drive properties regularly to monitor property conditions and identify opportunities for operational improvements.
- Report property concerns, liability risks, safety hazards, and operational issues to leadership promptly.
- Aid in monitoring make-ready timelines to reduce vacancy downtime and maintain leasing readiness.
- Tenant Retention and Community Building
- Implement resident retention strategies including renewal outreach, resident engagement initiatives, and community-building efforts.
- Work to reduce turnover by improving communication, responsiveness, and resident experience.
- Coordinate resident events, communication campaigns, or engagement opportunities when applicable.
- Manage the resident move-out process including inspections, damage assessments, documentation, and security deposit processing.
- Identify trends affecting resident retention and recommend solutions to improve occupancy stability.
- Compliance and Regulations
- Ensure compliance with Fair Housing laws and all applicable federal, state, and local regulations.
- Monitor and enforce lease agreements, rental policies, and community rules consistently and professionally.
- Maintain accurate documentation and communication records related to resident interactions and operational activities.
- Ensure company procedures, safety standards, and operational expectations are followed consistently.
- Report compliance concerns or operational risks immediately to leadership.
- Property Management
- Manage daily property operations including delinquencies, evictions, move-ins, move-outs, lease renewals, violations, abandonments, and make-ready inspections.
- Work proactively to reduce vacancy and turnover while improving resident retention and property performance.
- Assist in establishing rental rates by analyzing market conditions, occupancy trends, and operating costs.
- Collaborate effectively with maintenance, accounting, leadership, and other departments to ensure operational success.
- Maintain strong organization and time management while handling multiple priorities and deadlines.
- Take ownership of assigned properties and operate with professionalism, accountability, and urgency.
- High school diploma or GED required.
- 3–5 years of residential property management or leasing experience required.
- Strong understanding of property management operations, leasing, resident retention, and customer service.
- Knowledge of Fair Housing laws and property management best practices.
- Experience managing multiple priorities in a fast-paced environment.
- Experience with property management software systems preferred.
- AppFolio experience preferred but not required.
- Ability to work effectively within a team environment.
- Strong verbal and written communication skills.
- Excellent customer service and conflict resolution abilities.
- Strong organizational skills and attention to detail.
- Ability to prioritize tasks and manage time effectively.
- Professionalism and emotional intelligence when handling difficult situations.
- Ability to maintain confidentiality and professionalism at all times.
- Proficiency in Microsoft Office and general computer systems.
- Reliable transportation to travel between properties when needed.
- Self-motivated with a proactive and solutions-oriented mindset.
- Positions in this role typically require reaching, standing, walking, grasping, talking, hearing, seeing, and repetitive motions.
- Sedentary Work:
- Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body.
- Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
