Responsibilities

  • Orders supplies, equipment and materials needed as requested.
  • Facilitates communications between vendors and stakeholders.
  • Liaise with the Accounts Payable team on payment status and proactively resolves payment discrepancies, invoice disputes, and aged payables.
  • Liaise with the Purchasing team on PO creation and status and tracks PO lifecycle from requisition through closeout.
  • Enters purchasing agreements and agreements that are not research contracts through the appropriate portals.
  • Maintains KPIs on submissions through the purchasing and vendor agreement process.
  • Affords assistance with Study Startup activities being routed to the Research Budget/Contract Team.
  • Notifies finance and contracts teams of amendments that require updates to previously approved agreements.
  • Acts as liaison between investigators, sponsors and their representatives and the HMH purchasing and legal teams to facilitate timely resolution of operational and contractual issues.
  • Affords assistance in developing procedures to ensure submission compliance.
  • Affords assistance in Confidentiality agreements and other agreements as needed.
  • Other duties and/or projects as assigned.
  • Adheres to HMH Organizational competencies and standards of behavior.

Qualifications

  • Education, Knowledge, Skills and Abilities Required: High School Diploma or equivalent required, with a minimum of four (4) years of progressively responsible experience in research administration, contracts, purchasing, accounts payable, or a related business operations function; OR Associate's Degree with a minimum of two (2) years of relevant experience as described above.
  • Excellent personal management skills.
  • The ability to work independently, and in a team, and handle multiple deadline-driven tasks in a dynamic environment is essential.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.

Education, Knowledge, Skills and Abilities Preferred

  • Bachelor's Degree in Healthcare or Business

Licenses and Certifications Preferred

  • Society of Clinical Research Associates Certification or Certified Clinical Research Administrator or Certified Clinical Research Coordinator.
