About the role

The Group Reservations Representative effectively communicates housing needs between group contacts and the hotel. Their primary duty is to execute contractual obligations with a sense of urgency while establishing lasting working relationships with clients, ensuring satisfaction and future partnerships.

Responsibilities

  • Execute contractual obligations such as inputting accurate inventory, rates, reviewing concessions, while monitoring groups' pace and pick up.
  • Proactively balance room types, upload room lists, process changes and cancellations.
  • Work closely with internal departments (Sales, Revenue, Catering Conferences, Accounts Receivable, Housekeeping, and all Front Office areas) to execute client requests.
  • Assist with all Passkey functions internally and with external clients.
  • Address internal and external challenges to mitigate client/attendee impact via all channels.
  • Update and track changes to group blocks as directed by Sales, Revenue, Convention Services Manager, and Group Reservations Management.
  • Execute all reporting needs for the group such as rooming lists, no-shows, and pick-up reports.
  • Ensure all Resorts World core values and property and department standards are implemented and applied.
  • Obtain and maintain position-specific licensing.
  • Use personal device/cellular phone for job-related operational tasks, duties, and review of company documents.
  • Adhere to Resorts World Las Vegas' five core non-negotiable responsibilities:
    • Everyone is an Ambassador: Treat the property like your own home, ensuring a clean environment and meeting guest needs.
    • Everyone works in Safety: Address safety concerns by correcting them or notifying the appropriate department.
    • Everyone works in Security: Report security concerns if you "See Something, Say Something."
    • Everyone works in EVS: Pick up trash or notify the appropriate department for larger messes.
    • Everyone works in Guest Experience: Assist guests with a smile and escalate needs beyond your capacity.
  • Other duties as assigned.

Requirements

  • Ability to work varied shifts, including nights, weekends, and holidays.
  • Maintain a polished and well-groomed appearance and demeanor.
  • Ability to effectively communicate in English.
  • Excellent customer service skills while demonstrating ability to multi-task in a fast-paced environment.
  • Working knowledge of Microsoft Office applications.
  • Proof of eligibility to work in the United States.

Qualifications

  • At least 21 years of age.
  • High School Diploma or equivalent.
  • Minimum of one year of experience in Group Reservations, Front Desk, and/or VIP Services in Hospitality.
  • Preferred: Working knowledge of Opera and Passkey.
  • Preferred: Previous experience in a large, luxury resort setting.

Physical Demands

  • Work is typically performed in an office environment.
  • Must be tolerant to varying conditions of noise level, temperature, illumination, and air quality.
  • Prolonged sitting/standing.
  • Bending and reaching.
  • Transporting, pushing, pulling, lifting, and maneuvering items weighing up to 10 lbs.
  • Eye/hand coordination.
  • Ability to comply with Policies and Procedures, Job Description, daily memorandums, chemical labels (SDS), and other instructions.
