Rental Coordinator

Mobile Air & Power Rentals provides temporary cooling, heating, dehumidification, and power solutions. With rental portable air conditioners, cooling towers, chillers, heaters, dehumidifiers, generators, and power distribution, we cover all power and HVAC rental needs nationwide. We help save time and money by renting equipment that builds communities, improves businesses, and creates memories at special events.

About the role

Under minimal supervision, this position supports the day-to-day contract management requirements of the branch business, including all facets from order entry to final job execution and receipt of customer payment.

Responsibilities

• Manage day-to-day contract activities to ensure timely, accurate entry and proper documentation
• Ensure customer invoices are issued accurately and promptly
• Maintain customer relationships, including compliance and timely issuance of credits
• Manage purchase order requests and documentation for subcontractor requirements (re-rent, labor, freight)
• Use ERP system reporting to efficiently manage contracts and invoicing
• Monitor never bills and extensions using Infor reporting
• Coordinate with Sales and Operations to review open contracts and discuss relevant issues
• Verify customer receipt of invoices via email, phone, or customer portals
• Provide customers with accurate reporting and documentation for billing purposes
• Perform other duties as assigned by supervisor

Requirements

• Associate degree preferred; high school diploma or equivalent required
• Three to five years of relevant work experience preferred
• Ability to handle a large, diverse number of projects and tasks simultaneously with tact and persistence
• Experience or basic knowledge of project accounting and financial principles desired
• Proficient computer skills with MS Office Suite (Word, Excel, Outlook, SharePoint) or related software
• Excellent communication skills (phone, email, in person) for interacting with customers, Sales, Operations, Technicians, Finance, and external parties
• Ability to work additional hours during peak season
