About the role
As a Rental Coordinator, you will provide sales support and manage the administration workflow to ensure proper rental practices, high customer service, and satisfaction.
Responsibilities
- Locate and obtain rental units from other locations for customers.
- Open and close rental contracts and work orders for repairs on rental units.
- Supply necessary DOT compliance forms for rental units and create BOL’s.
- Understand the fleet of rental units and their applications.
- Obtain information from units for sales forms.
- Contact vendors for shipping quotes and arrange shipping of rental units to customers nationwide.
- Maintain new unit and rental unit inventory, upfit inventory data entry, local company spreadsheets, and company asset files.
- Create and supply PO numbers for vendors.
- Complete license and registration for assets and assist customers with license and title inquiries.
- Complete and scan all shipping forms and rental paperwork.
- Perform regular inventory for the units on ground.
- Work directly with headquarters for rental and RPO pricing.
- Create and maintain a superior experience for customers.
- Work directly with the service department to ensure quick turnaround time on downed rental units.
- Monitor and report monthly rental revenue.
Requirements
- High school diploma or equivalent; college degree a plus.
- 2 years of proven experience in a similar role.
- Background in aerial, construction equipment, and heavy & light duty trucks preferred.
- Extremely detail-oriented and accurate.
- Able to work in a fast-paced environment, set priorities, and adapt to changing work demands.
- Self-sufficient, driven, and able to meet deadlines and schedules.
- Professional personal appearance and strong attendance record.
- General mechanical aptitude and experience with parts required; knowledge of hydraulic, heavy equipment, diesel truck, and/or farm equipment preferred.
Skills
- Computers and Electronics — General aptitude in working with common computer software (MS Office Suite, internet, etc.) to process orders.
- Knowledge of inventory software (M3, Rentalman, etc.) to process purchase orders and track inventory is helpful.
- Understanding of principles and processes for providing a positive service experience, including internal client needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- Strong communication skills, both verbal and written.
Working Conditions
- Majority of work performed in an office setting; occasional work in the shop.
- May occasionally be exposed to bright lights, extreme temperatures, loud noise, dust, gas, and/or fumes.
- Able to work scheduled hours: 7:00 am–4:30 pm, Monday–Friday, plus any additional hours/days necessary to meet business demands.
Physical Requirements
- Ability to bend, stoop, and lift up to 25 lbs.
- Occasional lifting, carrying, pushing, and/or pulling; some climbing, balancing, stooping, kneeling, crouching, and/or crawling.
