Position Summary
The Rental Assistance Data Systems Assistant will assist with the departmental data management systems and software related to the administration of the Rental Assistance programs. This includes assisting in maintaining owner and tenant databases, extracting and analyzing data from system reports, and supporting the Rental Assistance Data Systems Manager with monthly payment processing functions.
Essential Functions & Responsibilities
- Aid and support the Rental Assistance Data Systems Manager and the overall Rental Assistance staff with changes to software for all rental assistance programs as prescribed by funding sources and RCAP Solutions' internal systems.
- Maintain tenant and landlord databases to ensure data integrity.
- Generate monthly reports on program activities and distribute them as needed.
- Support the Rental Assistance Data Systems Manager in preparing monthly leasing and program expenditures reports, and payment processing functions.
- Communicate with owners via phone or email regarding payment inquiries and correcting payment deficiencies as necessary.
- Assist staff with software-related issues, including training new staff or as directed, and ensuring compliance with funders' expectations on software-related issues.
- Attend all required training and meetings related to new and existing software, as requested by funding sources and/or the organization.
- Submit PIC (Personal Information Controller) data as required, support data cleanup and integration as necessary and directed by the Rental Assistance Director.
- Support the Rental Assistance team with the production of program reports and the development of new reports as needed.
- Perform other duties as assigned by the Director of Rental Assistance.
Education and Experience Requirements
- Associate's degree or equivalent education, with a minimum of two years of experience working with a variety of software databases.
- Knowledge and experience working with a variety of different software, with the ability to create and analyze data and reports.
- Proficiency with Word, Excel, OneDrive, database systems, and online search engines.
- Excellent written and verbal communication skills required.
- Bi-lingual communication skills preferred, but not required.
- Ability to train and present materials that are understandable for internal and external staff and stakeholders.
- Ability to work independently and in a team setting.
- Valid driver's license.
Working Conditions
- Typical office setting at RCAP Solutions' corporate office, with the ability to spend extended periods of time sitting and using office equipment.
- Move regularly from sitting to standing position, along with frequently bending to file and maintain files.
- Ability to work on repetitive tasks and use fine motor skills to handle and control objects.
- Ability to use earpieces or headphones. Speak, listen and understand others.
- Occasionally lift 10-15 lbs.
