About the Role

The Unit Assistant performs reception activities and supports the nursing unit by managing patient and visitor interactions, maintaining documentation, and ensuring operational efficiency.

Responsibilities

  • Answer phones, greet internal and external customers, and route incoming/outgoing mail.
  • Maintain inventory of necessary supplies and ensure the center work area is orderly.
  • Determine the nature of patient or visitor needs/requests, secure appropriate resources, and monitor follow-up for satisfaction.
  • Respond to patient call lights, including emergencies.
  • Obtain necessary documentation and consents from patients/families upon admission, ensuring all consents are signed within 24 hours.
  • Obtain and distribute copies of insurance information, picture IDs, and other required documents to the correct departments.
  • Maintain files of emergency information for each patient, including current history, physical exam, face sheet, DNR forms, and blood consents.
  • Prepare discharge paperwork for patients.
  • Distribute patient therapy schedules and ensure the most recent version is available to necessary personnel.
  • Audit adherence to specific policies and procedures (e.g., infection control, DNR) using reports from the EMR system.
  • Assist with orienting new staff to nurses' station functions, phones, access doors, CapMgt, and Guardian.
  • Schedule patient appointments, arrange transportation, and notify relevant parties of scheduling conflicts.
  • Perform additional duties as assigned in the best interest of the organization.

Requirements

  • High School Diploma or 1-2 years of college or other post-high school training (or equivalent experience).
  • Proficiency in keyboarding and basic computer skills (e.g., PC software, photocopying, fax machines, multi-line phones).
  • Basic communication and interpersonal skills to interact appropriately with internal/external customers.
  • Organizational skills to efficiently prioritize and complete tasks.
  • Ability to collaborate effectively in a team setting to maximize quality and operational efficiency.

Working Conditions

Normal office environment with little or no exposure to dust or extreme temperatures.
