Minimum Qualifications

  • High school graduate or equivalent.
  • State criminal background check and Federal background check (if applicable) as required for regulated areas.

Core Job Duties and Responsibilities

  • Obtain demographic, billing, and insurance information from patient, family, or legal guardian and enter it into registration/billing systems for service and claim processing; scan insurance cards and photo identification.
  • Provide patients with information concerning insurance, bill payment, and hospital procedures.
  • Complete managed‑care responsibilities, including obtaining pre‑certifications and authorizations.
  • Prepare WVU Medicine standard consent forms, notice of privacy practice, and other required paperwork; present to patient/family/legal guardian for signatures.
  • Obtain electronic signatures for consent to treat and patient financial obligations.
  • Collect deposits, co‑payments, deductibles, and patient liability payments; provide receipts and document payments in the registration/billing systems.
  • Prepare patient armbands for identification.
  • Balance daily receipts and cash drawer for patient payments as needed.
  • Follow up on accounts flagged by the system (courtesy dismissal/comments/red stickers).
  • Initiate various screenings, obtain pertinent coverage information, and complete appropriate paperwork.
  • Perform medical necessity checks and complete Advanced Beneficiary Notices as needed.
  • Schedule, reschedule, or cancel patient appointments in accordance with hospital workflows.
  • Check order completeness and validate orders against scheduled services.

Physical Requirements

  • Frequent walking, standing, stooping, kneeling, reaching, pushing, pulling, lifting, and grasping.
  • Visual acuity within normal range.
  • Manual dexterity to operate keyboards, fax machines, telephones, and other business equipment.
  • Sitting and/or standing for extended periods.
  • Reading and comprehension ability.

Working Environment

  • High‑volume, fast‑paced environment.
  • Exposure to communicable disease.
  • Frequent interactions with patients, medical staff, and support staff on a continual basis.

Skills and Abilities

  • Accurate utilization of applicable computer software and equipment for access processing; ability to follow downtime procedures.
  • Knowledge of procedures to report and document unsafe or hazardous conditions, incidents, and defective equipment in compliance with hospital policy.
  • Considerable attention to detail, strong organizational skills, and ability to perform multiple tasks simultaneously.
  • Ability to memorize and reference a substantial amount of information from written sources or personnel.
  • Understanding of medical insurance requirements for payment and basic knowledge of covered services.
  • Excellent written and verbal communication skills.
  • Basic knowledge of medical terminology.
