Registrar Outpatient
Part-time position supporting the outpatient areas of the Royal Oak hospital. Mandatory orientation during the first week from 8 a.m. to 4:30 p.m.
Schedule
- 2-3 days per week, afternoon shift 12 p.m. to 4 p.m.
- Monday to Friday, with rotation every other 4th/5th weekend
- 20 weekly scheduled hours
About the role
Under the direction of the Patient Access Registration Front Line Manager, the Acute Care Hospital Registrar 1 ensures a smooth and timely registration/admission process. Responsibilities include obtaining accurate demographic, clinical, and insurance data; collecting co-pays, deductibles, and prior balances; performing initial financial screening for self-pay and out-of-network patients; and referring patients to Financial Advisors as needed. The role focuses on providing optimal customer satisfaction, reception, and patient wayfinding.
Responsibilities
- Greet customers promptly with a warm and friendly reception.
- Direct patients to appropriate settings, explaining and apologizing for any delays.
- Maintain professionalism and diplomacy at all times, adhering to department standards.
- Register and admit patients via EPIC (Electronic Medical Record), collecting and documenting all required demographic and financial information.
- Accurately perform registration and financial functions, including:
- Thorough interviewing techniques to ensure accurate and timely documentation.
- Obtaining appropriate forms and scanning them into the medical record.
- Scrutinizing patient insurance(s) and selecting the correct plan in EPIC.
- Applying recurring visit processing according to protocol.
- Facilitating use of electronic registration tools (e.g., Kiosks).
- Verify patient information with third-party payers, collect insurance referrals, and document them in EPIC.
- Communicate with patients and physicians regarding authorization/referral requirements.
- Obtain financial responsibility forms or completed electronic forms from patients.
- Review, obtain, and witness hospital consent forms and Notice of Privacy Practices.
- Screen outpatient visits for medical necessity and provide cost estimates.
- Collect and document Advance Directive information, educating patients as necessary.
- Collect and document Medicare Questionnaire, issue Medicare Inpatient Letter, and Medicare Off-site Notifications as required.
- Scan appropriate documents and manage responsibilities within Compliance guidelines.
- Screen self-pay and out-of-network patients using EPIC tools, referring to Financial Advisors as needed.
- Initiate payment plans, obtain payments, and explain funding programs or cash payment plans.
- Issue receipts and complete cash balance sheets where appropriate, utilizing audits and controls for accuracy.
- Transcribe written physician orders, communicate with physician/office staff to clarify, and determine/document ICD-10 codes.
- Perform medical necessity checks and issue ABNs for Medicare primary outpatients (excluding lab-only outpatients).
- Affix wristbands to patients and prepare patient charts.
- Manage and prepare miscellaneous reports, schedules, and paperwork.
- Maintain inventory of supplies and facilitate scheduling for ancillary testing in identified areas.
- Identify and mark duplicate medical records for merging, utilizing system resources and contacting patients if necessary.
- Act as a preceptor to newer staff members as needed.
- Maintain or exceed department-specific productivity standards, collection targets, and quality audit scores.
- Provide excellent service to clinical departments, physicians, and downstream users of registration services.
- Contribute to process improvement activities to support efficient patient and process flow.
- Perform clerical duties such as typing, filing, mailing, calling patients, copying, faxing, and processing payments.
- Maintain or exceed Corewell Health Customer Service Standards: Service, Ownership, Attitude, and Respect.
- Remain compliant with regular TB testing and flu vaccination per hospital requirements.
Requirements
- High School Diploma or equivalent.
- 1 year of relevant experience in a customer service role or healthcare industry.
- Must be 18 years of age to co-sign legal documents (e.g., hospital consent forms).
- Proficient in medical terminology and typing (30 words/min).

- Experience with Windows, Excel, Word, Outlook, EPIC, Electronic Eligibility Systems, and third-party payer websites for verification.
