About the Role

The Records/Classification Supervisor ensures all daily demands are carried out in both divisions, maintains accurate court paperwork, and upholds the integrity of the agency while providing professional customer service. This civilian position reports directly to the Major of the Records Room Division.

Responsibilities

  • Ensures the Record/Classification Divisions operate in compliance with Standard Operating Procedures and minimum standards for local jails and lockups.
  • Develops policies and procedures to enhance the Records and Classification division.
  • Supervises, trains, and provides leadership for all personnel assigned to Records and Classification.
  • Provides training outlining specific duties and responsibilities and documents all training.
  • Monitors all paperwork completed by staff to ensure accuracy and approves files scheduled for release.
  • Approves new commitments, ensuring each offender has been lawfully remanded into custody.
  • Ensures detainers, warrants, and local checks are completed prior to release in accordance with Standard Operating Procedures.
  • Checks all time computations for accuracy and researches records when discrepancies arise.
  • Monitors and authorizes overtime due to staffing challenges.
  • Ensures daily attendance is submitted and serves as backup.
  • Conducts staff meetings to address concerns, updates, and feedback.
  • Communicates with courts regarding any paperwork issues needing attention.
  • Conducts evaluations of staff under their supervision.
  • Reviews all files set up for turnover to other jurisdictions.
  • Coordinates with federal agencies regarding US Marshal turnovers.
  • Provides training and coaching to enhance staff skills and knowledge.

Requirements

  • Associate degree or higher.
  • Knowledgeable in basic filing systems.
  • Three to five years of experience preferred.
  • Proficient in Microsoft Office Suite, general office equipment, and basic computer skills.
  • Ability to maintain confidentiality.
