Receptionist
About the role
A Receptionist is needed for a fast-paced work environment to provide administrative support to the dealership. This includes various administrative activities such as processing payments, maintaining cash schedules, and occasional accounting duties.
Responsibilities
- Greets showroom customers and determines the nature of their visit.
- Directs customers to the correct department, notifies the appropriate person that a customer is waiting, and introduces the customer to a salesperson.
- Answers incoming phone calls. Directs caller to appropriate department or individual or takes a thorough message.
- Communicates with callers and visitors in a professional, friendly, and efficient manner.
- Communicates messages to the appropriate parties in a timely manner.
- Types memos, correspondence, reports, and other documents.
- Affords assistance to service customers during the morning and evening service rush whenever possible.
- Affords assistance with clerical duties as requested.
- Maintains a professional appearance.
- Operates as a liaison between the parts and accounting departments, including resolving discrepancies between vendor invoices and warehouse records, freight charges, and similar issues.
- Accurately research discrepancies in the parts inventory system, including communication with parts management and warehouse managers, coordination with accounts payable personnel, and others within the company.
- Provides proper accounting/coding for parts and freight invoices.
- Maintains accurate records of details performed.
Qualifications
- Detail oriented, highly organized, and motivated to provide great customer service.
- Requires a strong sense of urgency.
- Computer skills and accounting knowledge are required.
- Organized, dependable, and accurate.
- Minimum of 3 years of accounts receivable scheduling, and general office experience.
- Industry experience a plus.
- General computer knowledge.
- High School Diploma preferred.
- Requires good verbal and written skills. Must be able to effectively communicate at all levels of the organization.
- Solid basic math and Microsoft Excel skills required.
- Basic reasoning ability and good conflict management skills.
- Valid Drivers’ License.
