ESSENTIAL FUNCTIONS

  • Answer, screen, and direct calls professionally.
  • Makes visitors welcome.
  • Files and maintains records, copies documents, and schedules meetings.
  • Sorts and distributes incoming mail, deliveries, faxes, and other communications; facilitates the dispersal of outgoing communications.
  • E-mails important announcements to other staff members as directed by the Office Manager.
  • Assists with light overflow of revising legal documents.
  • Aids Legal Assistants with producing and disseminating mass mailings.
  • Manages office calendar.
  • Assists Records Clerk with indexing.
  • Prepares check requests.
  • Sets up and tests video and computer equipment for meetings.
  • Secures meeting space both inside and outside the office.
  • Makes reservations for business lunches or orders in.
  • Cleans up meeting rooms after use.
  • Tests video and computer equipment and assists with set-up of video meetings.

PREFERRED QUALIFICATIONS

  • Precise attention to detail.
  • Good organization skills.
  • Superior customer service skills.
  • Strong clerical skills: filing, data entry, basic math calculations, and IT acumen.
  • Writing and proofreading skills.
  • Some knowledge of legal terms preferred.

EDUCATION AND EXPERIENCE

  • High school degree or equivalent.
  • 3-5 years’ previous experience in a fast-paced legal or corporate environment.
  • Experience as an administrative assistant, secretary, or receptionist.

COMPENSATION

The salary range for this position is $50,000 - $72,000 annually.
