RECEPTIONIST

Responsibilities

  • Greet and assist visitors, clients, and vendors in a professional and friendly manner; and refer, when necessary, to the appropriate person, official, or department.
  • Answer, screen, and direct incoming phone calls and emails.
  • Prepare and manage incoming and outgoing mail, deliveries, and packages; distribute incoming mail to corresponding departments.
  • Maintain the reception area and common office spaces to ensure a clean and professional appearance for visitors, guests, clients, vendors, and employees.
  • Aid with scheduling appointments, meetings, and conference room reservations.
  • Provide administrative support, including filing, data entry, copying, scanning, and document preparation.
  • Aid with purchasing office supplies and/or breakroom supplies and track inventory.
  • Cookbook with internal departments to support office operations and employee needs.
  • Maintain confidentiality of sensitive information and company records.
  • Support special projects and other administrative duties as assigned.

Qualifications

  • Experience working with confidential materials and knowledge of how to handle sensitive information.
  • At least two (2) years of customer service experience.
  • At least one (1) year in a reception-like environment or similar experience.
  • May be required to complete and pass a Public Trust Security Clearance.

Physical Requirements

  • Prolonged sitting
  • Extensive data entry and typing
  • Minimal lifting of office equipment and supplies
  • May be required to frequently lift up to 30 lbs

  • Flexibility in work hours may be required

WORK ENVIRONMENT

  • This position is predominantly held in a clerical environment and may also access the production floor in an industrial warehouse setting.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • The noise level in the work environment can be loud.
