Essential Duties And Responsibilities
- Provide day-to-day administrative support
- Maintain accurate records of all owned and leased properties across the organization
- Maintain real estate databases, dashboards, and reporting tools
- Generate reports on occupancy, vacancies, lease status, and space utilization
- Track critical lease dates (renewals, expirations, rent escalations, notice periods)
- Support lease reviews, renewals, and coordination with legal and finance teams
- Assist in aligning real estate capacity with organizational growth and demand
- Coordinate vehicle assignments and ensure proper usage across departments
- Monitor vehicle utilization, mileage, and maintenance
- Monitor registration, insurance, and compliance are current
- Maintain accurate records for registrations, titles, inspections, and insurance
- Track and manage accidents, claims, and risk mitigation efforts
- Track and manage fleet-related expenses (fuel, maintenance, insurance, leases)
- Identify cost-saving opportunities and improve operational efficiency
- Monitor telematics or GPS tracking to improve efficiency and accountability
- Lead fleet optimization initiatives to reduce costs and improve utilization
- Develop and improve asset management procedures and workflows
- Drive standardization and efficiency across asset-related processes
- Maintain an accurate, up-to-date inventory of all organizational assets
- Track asset lifecycle from acquisition to disposal
- Track asset-related expenses and support budget planning
- Conduct regular audits and reconcile discrepancies
- Identify opportunities to reduce costs (e.g., under-utilized assets, maintenance efficiencies)
- Provide guidance on asset usage, availability, and planning
Qualifications
- Bachelor’s degree required
- 3-5 years of experience in fleet and asset management
- Familiar with project management methodologies and best practice
- Analytical and data-driven decision-making
- Strong organizational and documentation skills
- Familiarity with asset management systems (CMMS, ERP)
- Attention to detail and compliance awareness
- Ability to work independently and manage multiple priorities
- Communication and cross-functional collaboration
