Real Estate Coordinator
Position Description
This position will be a key member of the Real Estate Department, supporting its activities and actively gaining exposure to, and knowledge of, corporate and investment real estate and land development. The Coordinator will help manage financial processes and information for the portfolio; manage the organization, storage, and retrieval of real estate documents; manage/administer vendor contracts and tenant leases; and assist in managing properties and the portfolio.
Primary Responsibilities
- Aid in portfolio and property budgeting, financial reporting, and variance analysis
- Short- and long-term capital planning and forecasting
- Accounting for the portfolio: manage revenue and accounts receivable, process expenses and accounts payable, monitor and accrue real estate taxes and assessments, assist with CAM/tax billings and reconciliations, work with corporate accounting to book financial activity from third-party property managers and joint venture partners, track mortgages and Contracts for Deed, and coordinate entry of capital expenditures into fixed asset system by Accounting Department
- Maintain cash balances and intercompany financial activity
- Aid in new lease analysis and preparing lease input forms; help prepare financial feasibility analysis of acquisitions, dispositions, and developments
- Provide portfolio information as required by outside auditors, lenders, and insurance broker
- Administer property leases, vendor service contracts, mortgages, and other property documents; help maintain real estate common folders and ContractWorks document management system
- Aid in property management activities: utility and other service billings, managing capital projects, response to maintenance issues, furniture and equipment procurement and management, processing and monitoring occasional insurance claims
- Maintain portfolio information book and data lists
Work Environment
General office environment, full-time in-office at Maple Grove. Traditional indoor office environment. Some periodic travel to construction sites and properties.
Physical Demands
The physical demands described below are representative of but not limited to the physical exertion generally required to perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit for long periods of time while using a keyboard. They are frequently required to stand and walk. They are occasionally required to lift, carry, push, pull, and reach overhead materials up to 20 pounds, along with frequent gross manipulation using their hands. The visual requirements include demonstrating or having vision corrected to 20/20. In general, this position includes sedentary work that primarily involves sitting and/or standing as well as repeating motions that include the wrists, hands, and/or fingers.
Position Requirements
- Required Education, Experience, Knowledge, Skills, and Abilities: Bachelor’s or Associate degree in Business – Finance, Accounting, Property Management, or related field or 2 years of general accounting or property management experience; Microsoft Office proficiency (particularly Excel and PowerPoint) and strong financial modeling/analysis aptitude; Ability to manage multiple and competing demands; strong time management skills; Quick study and ability to grasp new concepts; curious and eager to learn; enjoys problem-solving; Superior organization, interpersonal, and verbal and written communication skills
