About the role

Loenbro is in search of a Quality Coordinator to support our organization's document control systems, ensuring accuracy, compliance, and accessibility. This role supports project billing, contract documentation, audits, and close-out processes while working across departments to maintain document integrity.

Responsibilities

  • Organize, archive, and manage digital records for designated project locations.
  • Maintain version control and track revisions.
  • Ensure compliance with internal policies and regulations.
  • Assist in developing document control procedures and systems.
  • Compile invoice backup for billing and contract compliance.
  • Resolve documentation issues with Accounting, QC, and Production Teams.

Requirements

  • Proficient with Microsoft Office Suite, SharePoint, Adobe products, and document management platforms.
  • Ability to quickly learn new systems and procedures.
  • Strong service orientation, able to maintain professional relationships with stakeholders, including executives, PMs, accounting teams, and clients.
  • Excellent written and verbal communication skills with strong organizational capabilities.

Qualifications

  • Previous experience in document control or administrative roles is preferred.
  • Familiarity with ERP systems and overseeing digital backups is a plus.

Work Environment

  • In office, on-site - typical office setting and work environment.
  • Noise level in the work environment is usually moderate as in a typical office setting.
  • Ability to work flexible hours.
  • This role requires compliance with all applicable safety regulations, personal protective equipment (PPE) requirements, and Loenbro's Environmental Health and Safety (EH&S) policies.
