Purchasing Coordinator

About the role

The Purchasing Coordinator supports the supply chain and purchasing functions by monitoring open purchase orders, following up with suppliers, and maintaining accurate data in ERP/MRP systems. This role helps ensure that delivery commitments align with business and production requirements while providing clear communication and support to buyers and internal stakeholders. Responsibilities

• Monitor open purchase orders to ensure delivery commitments align with business and production requirements.
• Perform routine follow ups with suppliers on order acknowledgements, delivery dates, and shipment status.
• Maintain accurate and timely updates within ERP/MRP systems to support data integrity and informed decision making.
• Communicate delivery updates, potential delays, or issues to buyers and internal stakeholders in a clear and professional manner.
• Assist with expediting high-priority orders under the guidance of supply chain team members.
• Help resolve basic shipping discrepancies, shortages, or documentation issues in coordination with suppliers.
• Prepare and distribute status reports and expediting summaries as requested by the supply chain or purchasing teams.
• Collaborate cross-functionally with Purchasing, Planning, Operations, and Quality teams to support smooth material flow.
• Support continuous improvement initiatives by identifying opportunities to enhance communication, tracking, or purchasing processes.
• Perform accurate data entry related to purchase orders, order entry, and vendor information.
• Provide administrative support to the purchasing function, including documentation, record keeping, and follow-up activities.
• Assist with vendor management activities by maintaining up-to-date supplier information and supporting communication with vendors.
• Contribute to customer service and logistics coordination by ensuring timely and accurate order processing.

Skills

• Experience with purchasing or purchasing coordination, including working with purchase orders.
• Experience with data entry and order entry in a business or supply chain environment.
• Exposure to ERP or MRP systems, such as SAP or JDE, with the ability to update and maintain records accurately.
• Strong computer skills with basic proficiency in Microsoft Office, including Excel and Outlook.
• Clear and professional written and verbal communication skills.
• Strong attention to detail with a high degree of follow-through and accountability.
• Ability to prioritize tasks and manage time effectively in a fast-paced environment.
• Ability to take initiative and proactively follow up on outstanding items, including picking up the phone to contact suppliers or stakeholders.
• Ability to provide administrative support in a purchasing or supply chain setting.
• Comfort working with spreadsheets and performing Excel data entry for purchasing and logistics activities.

Pay

$21.00 - $22.00/hr.
