The Purchasing Associate

The Purchasing Associate is a member of the Purchasing Team. This position’s primary duties include entering and tracking the status of Purchase Orders (POs) placed with vendors. The Purchasing Department works hand in hand with Vendors, Instrumart’s Order Management Team, and Engineering to provide our customers with the most accurate information possible about their orders.

  • Create, review, approve, and send Purchase Orders to vendors
  • Maintain and update the status of all orders placed with vendors
  • Contact vendors (by phone or email) whenever necessary to expedite, cancel, check status, or amend a PO
  • Use UPS, FedEx, LTL information, and the shipping tool to update the delivery status
  • Create Item Fulfillments for Drop Ship POs and Sales Orders
  • Collaborate with Order Management team members and Engineering to resolve any issues, such as delays that impact our customers' satisfaction
  • Work closely with the Shipping Department to ensure all packages/items are received, and monitor missing/lost items
  • Aid the Accounting Department in resolving invoice issues such as price discrepancies, incorrect quantities, and miscellaneous fees

  • Skilled time manager with a strong drive toward independent productivity
  • Active listener with the ability to consider feedback
  • Excellent attention to detail
  • Capability to work in a fast-paced environment
  • Excellent communication and collaboration skills to ensure smooth and clear interactions across all departments at Instrumart and with Vendors
  • Knowledge and comfort with computers, with the ability to navigate multiple systems

Preferred Skills

  • Familiarity with NetSuite or similar business management software
  • Experience with sharing a workload while working as part of a team
  • Experience working in an open office environment

Safety & Compliance Responsibilities

  • Follow company safety policies and procedures and use required PPE
  • Complete the required safety trainings
  • Report hazards, unsafe conditions, and work-related injuries

Location

This position is located in South Burlington, Vermont.

Work Atmosphere

The Purchasing Associate works in a typical office environment. The office climate is controlled at a comfortable temperature year-round, air-conditioned in the summer, and heated in the cooler seasons. The office is very clean and has significant exposure to natural light. Substantial time spent at a desk, sitting, and doing repetitive motions through computer work.
