Key Responsibilities
- Daily Purchase Order Importing: Import approved purchase orders into ComputerEase (CE) accounting software to ensure real-time project cost tracking. Note: This responsibility will transition with the launch of Certinia.
- Problem Invoice Management and Corrections:
- Investigate invoice discrepancies, including pricing or duration
- Communicate with vendors to request adjustments or clarifications.
- Collaborate with field personnel to confirm invoices
- Revise purchase requisitions to align with field-verified information
- Committed Cost Clearing:
- Review and validate anticipated (yet unbilled) costs
- Adjust, remove, or reclassify committed costs to ensure financial records reflect actual project costs
- Rental Equipment Audits:
- Conduct weekly audits of rental equipment in use across projects
- Verify usage, status, and billing accuracy with field staff
- Assist with updating records and coordinating off-rents
- Office Supply Management:
- Coordinate and complete bi-monthly office supply purchases
- Track usage and ensure cost-effective procurement from approved suppliers
- Process purchase requisitions and create purchase orders (POs) for materials, equipment, and supplies
- Maintain accurate records of purchase orders, receipts, and vendor information
- Communicate effectively with internal teams (e.g., project managers, construction supervisors) to confirm material requirements
- Ensure compliance with company policies and project specifications for all activities
- Support the purchasing team with administrative tasks and documentation
Qualifications
- 2+ years of experience in industrial construction
- Strong organizational and time-management skills
- High attention to detail and accuracy in data entry and recordkeeping
- Excellent communication skills, both verbal and written, with the ability to work collaboratively across departments
- Proficiency in MS Office Suite (Word, Excel, Outlook)
- Experience with construction accounting software or ERP systems (e.g., ComputerEase, Procore, or similar) is a plus
