Key Responsibilities

  • Daily Purchase Order Importing: Import approved purchase orders into ComputerEase (CE) accounting software to ensure real-time project cost tracking. Note: This responsibility will transition with the launch of Certinia.
  • Problem Invoice Management and Corrections:
    • Investigate invoice discrepancies, including pricing or duration
    • Communicate with vendors to request adjustments or clarifications.
    • Collaborate with field personnel to confirm invoices
    • Revise purchase requisitions to align with field-verified information
  • Committed Cost Clearing:
    • Review and validate anticipated (yet unbilled) costs
    • Adjust, remove, or reclassify committed costs to ensure financial records reflect actual project costs
  • Rental Equipment Audits:
    • Conduct weekly audits of rental equipment in use across projects
    • Verify usage, status, and billing accuracy with field staff
    • Assist with updating records and coordinating off-rents
  • Office Supply Management:
    • Coordinate and complete bi-monthly office supply purchases
    • Track usage and ensure cost-effective procurement from approved suppliers
  • Process purchase requisitions and create purchase orders (POs) for materials, equipment, and supplies
  • Maintain accurate records of purchase orders, receipts, and vendor information
  • Communicate effectively with internal teams (e.g., project managers, construction supervisors) to confirm material requirements
  • Ensure compliance with company policies and project specifications for all activities
  • Support the purchasing team with administrative tasks and documentation

Qualifications

  • 2+ years of experience in industrial construction
  • Strong organizational and time-management skills
  • High attention to detail and accuracy in data entry and recordkeeping
  • Excellent communication skills, both verbal and written, with the ability to work collaboratively across departments
  • Proficiency in MS Office Suite (Word, Excel, Outlook)
  • Experience with construction accounting software or ERP systems (e.g., ComputerEase, Procore, or similar) is a plus
