This is an advanced-level administrative role distinguished by its emphasis on paraprofessional duties, including a wide variety of complex, diverse, and confidential support tasks. The Lead Customer Service Specialist serves as the front-line point of contact for the department, interacting with the public through direct contact, telephone, and email. The role requires patience, tact, and knowledge of general administrative operations.
Responsibilities
- Provide staff support to an assigned department by assisting with administrative tasks related to advanced, complex, or sensitive materials, including:
- Maintaining calendars, coordinating and arranging meetings, and confirming meeting logistics.
- Arranging meeting setups, attending meetings, taking notes, and transcribing minutes.
- Receive visitors and incoming calls; provide information and address inquiries requiring sensitivity and independent judgment.
- Conduct research and respond to requests for information from officials, customers, and the public; refer requests to appropriate staff as needed.
- Review, proofread, and edit departmental agendas and maintain files.
- Schedule and coordinate special meetings, seminars, conferences, and training sessions.
- Maintain department and agency contacts, including mailing lists.
- Establish, analyze, revise, and recommend administrative and office practices, procedures, systems, and workflow processes.
- Monitor activities to ensure conformance with adopted department/division work plans; recommend improvements to practices and procedures.
- Assist with monitoring vendor contract performance to ensure compliance.
- Interpret policies and regulations for the public and department personnel; resolve inquiries and coordinate resolutions.
- Assist in creating a positive and supportive work environment, enforcing safe workspaces, and promoting teamwork and communication.
- Compile and analyze data; prepare regular and special reports for departmental/division management, including database management.
- Prepare agendas for meetings, functions, and conferences.
- Compose correspondence with a high degree of initiative and judgment when communicating with the public, contractors, agencies, and employees.
- Manage the Director’s schedule.
- Conduct site tours and coordinate meetings.
- Oversee special projects.
Requirements
- Any combination of education and experience equivalent to graduation from high school with considerable secretarial and/or administrative assistant experience in a local government setting or similar discipline.
- One to two years of experience working with older adults or in parks and recreation is preferred.
- Ability to perform basic life operational support functions such as reaching, walking, fingering, talking, hearing, and repetitive motions.
- Ability to perform sedentary work exerting up to 10 pounds of force occasionally and/or negligible force frequently.
- Visual acuity to compile and compute data, perform accounting tasks, operate a computer terminal, proofread materials, and perform transcription tasks.
Candidates will undergo a thorough background investigation, including NC State Bureau of Investigation fingerprinting, after an offer of employment is extended.
