About the role
The Prospect Outreach Specialist serves as BAM Capital's first point of contact for prospective investors. The primary objective is to create a high-quality, personalized experience for every prospect who enters our pipeline, ensuring they feel heard, prepared, and well-served before their first conversation with our capital raising team.
Responsibilities
- Promptly contact all inbound prospects upon inquiry; conduct warm, structured discovery conversations to understand their goals, timeline, and investment background, and brief the capital raising team in advance of each meeting to ensure a tailored experience.
- Assess each prospect's profile and place them on the existing proprietary communication path based on their persona, ensuring every touchpoint feels relevant and personalized.
- Customize and deploy HubSpot email sequences tailored to each prospect's persona, working from content drafted by our in-house writer and adapting it to fit the individual prospect and context.
- Conduct outreach across multiple channels — phone, text, and email — to engage prospects at the right moment with the right message.
- Proactively identify re-engagement opportunities across the CRM by monitoring behavioral signals such as form activity, email engagement, and other indicators of investment interest.
- Own data integrity for all prospect records in HubSpot, including auditing, enriching, and correcting designated fields to ensure every record reflects the most complete and accurate information available.
- Review notes and transcripts from capital raising calls to verify CRM data is captured accurately and consistently.
- Follow established SOPs with a high degree of precision and contribute structured feedback to improve processes over time.
Qualifications
- 1–3+ years of experience in a client-facing, relationship management, or service coordination role; experience in financial services, real estate, retail, or a similarly relationship-driven industry is preferred.
- Proficiency with HubSpot or a comparable CRM, with demonstrated comfort around data integrity and record management.
- Strong verbal communication skills — professional, warm, and effective at building rapport quickly by phone.
- High attention to detail and strong organizational skills to be able to work independently.
- Ability to manage competing priorities in a fast-paced, metrics-driven environment.
