About the Opportunity
The Proposal Specialist supports the end-to-end proposal process from kickoff to submission. This role ensures coordination, compliance, and quality of proposal content and documentation. The position contributes by managing proposal development workflows, maintaining content accuracy, and facilitating communication among proposal team members and external partners to enable successful submissions.
Responsibilities
- Lead coordination of proposal activities, including updating templates and managing proposal documentation
- Analyze RFPs and assist in developing compliance matrices and annotated outlines
- Ensure proposal sections meet required formatting and compliance standards
- Manage production aspects such as graphics, desktop publishing, printing, and formatting
- Oversee SharePoint proposal sites, including access control and user training
- Maintain version control, document organization, and reusable proposal content
- Train team members on proposal templates and processes
- Develop schedules and track deliverables and deadlines
- Coordinate and facilitate status calls, review meetings, and color team reviews
- Support review processes by preparing materials and collecting feedback
- Provide on-site support and logistics management for proposal teams
- Assist with final proposal assembly and submission compliance
- Serve as point of contact in absence of the Proposal Manager
- Write and edit sections including cover letters, resumes, and past performance
- Manage data calls to teaming partners
- Distribute RFPs, amendments, and Q&A documentation to stakeholders
- Perform additional tasks as assigned by senior proposal leadership
Requirements
- Bachelor's degree in English, Business, Communications, or related field
- Minimum 4 years of experience in proposal coordination with demonstrated compliance
- Proficiency in desktop publishing and Microsoft Office, including Word and PowerPoint, plus Adobe Creative Cloud
- Knowledge of government contracting processes
- Strong organizational, written, and verbal communication skills
- Ability to build relationships and work independently as well as collaboratively
- Willingness to work extended hours during proposal peaks
- Ability to travel, including to US Military Bases requiring US Citizenship
Pay Range and Compensation Package
The anticipated salary range for this position is $80,000 to $95,000 annually, based on experience, education, and location.
