Responsibilities
- Lead proposal coordination, including development and updates of templates, writers’ documents, and proposal information sheets
- Analyze RFPs and support development of compliance matrices and annotated outlines
- Ensure proposal sections meet formatting requirements and support final compliance checks prior to submission
- Manage production processes across the proposal lifecycle, including graphics, desktop publishing (DTP), printing, and formatting
- Manage SharePoint proposal sites, including user access, and user training
- Manage version control, document organization, and file naming conventions; maintain and update reusable proposal content (e.g., past performance, resumes, boilerplate) in SharePoint
- Train proposal team members on templates and processes
- Develop schedules and track action items, deliverables, and deadlines
- Cook up status calls, color team reviews, and other meetings
- Coordinate and host status calls, color team reviews, and other meetings
- Support color reviews, preparing review materials, guiding reviewers through the review process, and collecting comments
- Provide on-site support and manage logistics for on-site proposal teams
- Serve as point of contact when the Proposal Manager is unavailable
- Write and edit cover letters, resumes, and past performance/experience sections
- Develop and manage data calls to teaming partners
- Distribute RFPs, amendments, and Q&As to internal stakeholders and teaming partners
- Support ad hoc activities as needed by the Sr Director of Proposal Operations or VP Capture Manager, and other assigned duties.
Requirements
- Bachelor’s degree in English, Business, Communications, or other relevant field
- 4+ years of experience in proposal coordination, with a track record of compliance and successful submissions
- Proficiency in desktop publishing, Microsoft Word, PowerPoint and Adobe Creative Cloud applications
- Understanding of government contracting processes
- Excellent organizational skills as well as written and verbal communication skills
- Ability to develop effective relationships with internal and external stakeholders, working independently and coordinating with others
- Willing to work extended hours during peak proposal periods, as necessary
Qualifications
- The position is eligible to work remotely in the United States
- The position requires the ability to travel, including to US Military Bases that require US Citizenship in order to be granted base access
