Proposal and Contract Coordinator
Key Responsibilities
- Cook up and submit proposals and RFP responses, including gathering inputs from tech, biz, and management teams.
- Keep track of proposal deadlines, tasks, and outputs to make sure we hit our deadlines.
- Help write proposal narratives, exec summaries, and docs that talk to customers.
- Help with talking to utilities, engineers, execs, and external partners.
- Use AI and proposal automation tools to speed up the proposal and contract making process.
- Help keep records about proposals, contracts, and project docs.
Requirements
- Bachelor's degree in Business, Marketing, Communications, Technical Management, or a related field.
- 1-3 years of relevant experience (can include internships) in business development, technical support, or similar roles.
- Strong written communication and editing skills.
- Excellent organizational skills including document and process management and tracking inputs from multiple team members.
- Strong attention to detail and proofreading/quality control skills, with the ability to spot and fix inconsistencies, formatting issues, and content errors before final submission.
- Ability to manage multiple deadlines and coordinate across teams.
- Self-starter with strong follow-through and willingness to learn technical subject matter.
- Strong proficiency with Microsoft Office (Word, PowerPoint, Excel), with the ability to format and finalize polished, client-ready documents and presentations.
- Comfortable working in a fast-paced, evolving environment with multiple concurrent priorities.
- Experience supporting RFP processes, proposal/contract development, and statements of work.
- Familiarity with document management or collaboration platforms.
- Experience leveraging Teams and SharePoint for document management and team collaboration.
- Experience maintaining templates, reusable content, and version-controlled documents to support efficient, consistent proposal development.
- Experience working in B2B or technical industries.
- Familiarity with customer relationship management (CRM) systems such as Salesforce, HubSpot, or similar platforms preferred.
- Experience using AI tools and proposal automation processes.
