About the Role
We are seeking a Property Manager to join our team at Parkstead Watertown at City Center, a professionally managed multi-family community in Watertown, NY.
Responsibilities
- Marketing + Leasing:
- Create the property’s Annual and 90-day Marketing + Leasing Plans in collaboration with the Marketing Department.
- Execute Marketing + Leasing Plans successfully.
- Coordinate and disseminate timely communication for scheduled events.
- Provide continual sales and leasing training to all leasing and sales staff.
- Recommend improvements to marketing and leasing programs.
- Prepare regular market surveys and shop competition.
- Prepare weekly and monthly reports.
- Review all rental applications and lease forms for accuracy and compliance with resident policy.
- Financial Reporting + Control:
- Prepare the property’s annual budget in collaboration with the Regional Manager and Property Accountant.
- Monitor budget performance and report variances.
- Assist Property Accountant with monthly financial accounting, reporting, and explanation of variances.
- Prepare purchase orders and input invoices into Entrata.
- Report payroll information to the Corporate office/Human Resources on a timely basis.
- Supervise inventory of all equipment and supplies.
- Manage the property’s Petty Cash.
- Site Activity + Resident Management:
- Provide leadership to staff and residents by following company procedures and maintaining a professional image.
- Work with the Regional Manager to maximize NOI and align property operations with owners' goals.
- Create and drive new revenue streams to achieve and exceed goals.
- Ensure resident retention programming (SUN® program) is executed consistently and at a high quality to maximize resident satisfaction.
- Ensure resident files are accurate, complete, and maintained per operating guidelines.
- Administer rent collection programs consistently to ensure revenue is collected within operating standards.
- Manage the resident complaint log and seek assistance from the Regional Manager when needed.
- Oversee move-ins and move-outs, ensuring proactive and cohesive communication with site staff.
- Maintaining Physical Asset:
- Regularly evaluate maintenance operations for cost efficiency, including staffing and preventative maintenance programming.
- Conduct regular, detailed inspections of the physical plant and report deficiencies for corrective action.
- Audit service requests performed by site staff.
- Inspect maintenance work and adjust maintenance schedules as needed.
- Evaluate and approve decisions for physical repairs, replacements, or improvements consistent with the capital improvement plan.
- Monitor the status and condition of all vacant apartments.
- Perform regular inspections of common areas, community rooms, hallways, stairwells, elevators, apartments, grounds, and building exteriors.
- Supervise vacant apartment make-ready procedures and ensure staff productivity through routine inspections.
- Direct or recommend physical repairs, replacements, or improvements to the Maintenance Supervisor.
- Approve or recommend supplies, materials, and equipment, and place orders when approved.
- Staff Training + Development:
- Train staff on the Company’s standard operating procedures and policies.
- Ensure consistent administration of staff training.
- Ensure staff are knowledgeable about company procedures and policies.
- Coordinate and ensure proper training of site staff in Entrata.
- Uphold standards for employee training, including United’s Pure Safety training and industry-specific training.
- Human Resources + Personnel Management:
- Ensure staffing levels align with business needs.
- Supervise on-site personnel, including scheduling, time and attendance management, payroll, and progressive discipline.
- Manage employee training and development.
- Hire and terminate employees in accordance with established guidelines.
- Conduct formal employee performance evaluations and recommend promotions or salary increases.
- Pure Safety Program:
- Actively participate in, follow, and enforce safety and health programs.
- Resolve questions, approve, or recommend expenditures to correct unsafe conditions.
- Conduct regular safety inspections of shops, warehouses, offices, and job sites to ensure safe work practices and conditions.
- Personally perform safety inspections and review reports of unsafe conditions, making corrections as required.
- Conduct regular safety meetings to promote awareness and compliance with Safety and Health Policies.
- Investigate accidents and assist with completing accident report forms.
- Ensure compliance with specific programs (e.g., hazard communication, bloodborne pathogens protection, hearing conservation, forklift safety).
- Review safety-related disciplinary actions with employees.
Requirements
- College degree or applicable work history.
- 5+ years of experience in residential property management with LIHTC experience.
- Proficiency with software such as Entrata and CRM.
- Professional designations (e.g., Certified Professional Manager (CPM), Accredited Residential Manager (ARM)) preferred.
- Demonstrated integrity on personal and professional levels.
- Exceptional communication, sales, and negotiation skills.
- Ability to solve problems involving residents and challenging situations.
- Light lifting and carrying as part of physical requirements.
Pay
Approximate salary: $68,000 annually plus Bonus Program.
Schedule
Full-time; Monday - Friday, 8:30 AM – 5:00 PM (evenings and weekends as needed).
