About the role
This position oversees preventive care, daily grounds, and household maintenance services at all assigned properties. Responsibilities include oversight of outside vendors and contractors.
Responsibilities
- Interview and onboard properties staff to ensure alignment with the principal’s standards and expectations.
- Create and manage staff schedules to ensure seamless coverage and consistent operations across all properties.
- Conduct routine inspections to ensure all areas meet cleanliness and presentation standards, addressing deficiencies promptly.
- Conduct regular evaluations to ensure tasks are completed to the Principal's expectations and address areas for improvement proactively.
- Lead the property team to ensure the successful execution of projects and tasks. This includes delegating, providing guidance and support, and creating a collaborative and creative work environment.
- Oversee the training and development of new staff to ensure high standards of service and care.
- Oversee regular inspections throughout the residence and grounds.
- Solicit competitive bids for projects as required and monitor all work provided by contractors.
- Develop and maintain an intimate working knowledge of all household systems (e.g., telephone, HVAC, lighting, electrical, security, appliances, recreational and exercise equipment, emergency generators, plumbing, water softeners, sump pump).
- Supervise or arrange for maintenance to ensure optimal efficiency and operation.
- Cookordination with outside vendors and RDV Corporation (Wakestream) staff for wireless, IT, audio/visual, and lighting needs and programming.
- Oversee the maintenance, cleanliness, and operation of fireplaces; ensure wood bins are stocked.
- Arrange for trash removal, supervise the cleanliness of trash receptacles, and ensure receptacles are washed as needed.
- Manage the cleanliness and organization of garages, attics, outdoor storage areas, patios, decks, porches, and entryways.
- Conduct regular checks to ensure all light bulbs are in working order and replace as necessary. Ensure adequate stock of miscellaneous supplies (e.g., batteries, light bulbs, filters, tools).
- Supervise routine exterior checks (e.g., under eaves, dryer vent screens, exterior windows) and arrange for cleaning as necessary.
- Inspect and maintain painted surfaces, wood, stucco, stone, and grout conditions of the residence exterior; ensure gutters are cleaned as needed.
- Ensure operational readiness of the sprinkler system; inspect for leaks and malfunctions and coordinate repairs as needed.
- Coordinate adjustment of sprinkler systems based on lawn conditions.
- Consult with tree service contractors for feeding, trimming, and removal of trees.
- Coordinate snow removal and ensure walkways are maintained in a safe condition.
- Ensure cleanliness and operational readiness of outdoor grills, patios, porches, exterior furniture, fireplaces and propane fuel tanks.
- Supervise the maintenance of recreational equipment (e.g., bikes, balls, toys, battery powered devices, powered toys) and oversee the storage of off-season outdoor furniture and equipment.
- Oversee pool and spa maintenance contractors and practices. Learn all systems to provide troubleshooting and backup maintenance. Ensure optimal cleanliness and operation at all times and monitor water levels frequently.
- Pick-up/drop-off people or cars at airport locations.
- Transport and stage bicycles, golf carts, and other recreational equipment at various locations as needed.
- Coordinate and assist with holiday decorating, i.e., Christmas lighting, and special event requirements, table set up/tear down, etc.
- Maintain a positive working relationship with family members and household staff.
- Perform special projects at request of Sr. Property Manager or Director of Properties; run errands, as necessary.
Requirements
- Landscape/grounds and estate level maintenance experience required.
- Leadership experience required.
- Vendor/contractor coordination experience required.
- Knowledgeable regarding proper care and maintenance of lawn, trees, shrubs, etc.
- Knowledgeable regarding mechanicals, such as underground sprinkling systems, electrical and heating/cooling systems.
- General knowledge and basic skill level in certain trades, such as mechanicals, HVAC, plumbing, appliance repair, building/carpentry, painting, etc.
- Strong interpersonal and communication skills are essential.
- Attention to detail, organization, and follow-through in daily routine is essential.
- Able to lift fifty (50) pounds to a maximum height of six (6) feet; occasional lifting to eighty (80) pounds.
- Able to stoop, bend, kneel, climb, and remain standing on feet for lengthy periods of time.
- Able to safely operate power machinery and lawn care tools.
