Property Manager
About the Role
As the Property Manager, you will oversee the day-to-day operations of the property, leading the site operational team. In this role, you will maintain and improve the upkeep of the building by ensuring efficient alignment of site-level resources while collaborating with internal stakeholders to implement corporate initiatives. Leading all employee engagement efforts, you will deliver a consistent, high level of service and tenant experience. In the absence of the General Manager, you will assume overall leadership of the building. This role is crucial as you set the tone for the tenant, customer, and employee experience that defines a best-in-class office destination.
Responsibilities
- Customer Relationship Management
- Establish and maintain world-class customer relations with tenants, responding to daily inquiries regarding the property’s policies and procedures.
- Manage tenant relationships by being responsive, diplomatic, and decisive in all interactions.
- Coordinate, complete, and communicate tenant fit-ups and construction projects in a timely manner.
- Engage in industry associations and community initiatives to build strong relationships with stakeholders, tenants, and employees.
- Property Management / Operations
- Provide direction and oversight to administrative and engineering staff, aligning their duties with property objectives.
- Monitor progress and provide continuous feedback on performance.
- Plan, organize, direct, and control property activities to maximize performance using available resources.
- Oversee and manage capital expenditure projects to ensure they are completed on time and within budget.
- Conduct regular property inspections and oversee emergency response training.
- Champion the property-level employee engagement program to ensure a consistent brand experience.
- Act as a liaison between property departments to ensure clear communication.
- Support the General Manager with portfolio-wide initiatives, including vendor strategy and process improvements.
- Financial / Accounting
- Prepare and ensure the accuracy of annual budgets.
- Oversee monthly financial tasks, prepare reports, and analyze budgets with timely variance explanations.
- Ensure accuracy in AR and AP processes and timely distribution of annual pre-bill and year-end billings.
- Review operating and RE tax true-ups and pre-bills.
- Supervise and support the Tenant Coordinator and Financial Coordinator to ensure accurate billings and AR collections.
- Lease Administration
- Review and approve lease-related payments, including progress billing, tenant allowances, brokerage commissions, and feasibility studies.
- Interpret leases and ensure adherence to requirements, overseeing accurate entry of leasing budgets and forecasts.
- Monitor and complete leasehold improvement allowances per the lease.
- Work with the administration team to ensure accurate tenant lease profiles in the system.
- Maintain a thorough understanding of lease obligations and ensure accurate execution of all terms.
- Reporting
- Provide guidance on multi-year budget preparation and regular forecasting, including sustainable operating budgets and capital plans.
- Collaborate with Leasing to provide information on occupancy, leasing activity, and market positioning.
- Coordinate monthly reports and assist the General Manager during quarterly corporate updates.
- Liaise with Legal, Marketing, Leasing, and Development departments to maintain the building’s brand and vision.
Requirements
- Proven people-leadership and supervisory experience directing administrative and engineering staff, with strong employee-relations, coaching, and training skills.
- Strong financial and analytical skills, including budgeting, forecasting, and variance reporting.
- Excellent communication, organizational, and problem-solving skills.
- Proven ability to build and maintain strong tenant, vendor, and team relationships in a collaborative environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Qualifications
- College degree and a minimum of 5 to 7 years of experience in commercial property management.
- 3+ years of supervisory experience preferred.
- Familiarity with tenant fit-up, construction practices, and capital expenditure projects.
- Comfort operating in evolving and adaptive organizations.
- Industry designations such as RPA or CSM are considered an asset.
Pay
The annualized base salary for this position ranges from $97,000 to $125,000 per year. The base salary offered will consider factors such as the individual’s skill set. You may also be eligible for an annual Incentive Award under our Short-term and Long-Term Incentive plans, as well as participation in group benefits and retirement plans.
