About the Role

The Property Manager is responsible for the day-to-day operation of a new lease-up apartment community, leading leasing efforts while overseeing daily property operations and resident services. This role will play a key part in establishing a successful community by driving occupancy, delivering exceptional customer service, and overseeing efficient property operations from the start. The Property Manager ensures quality service to residents, efficient property operation, and completion of required administrative tasks. This position reports to the Regional Property Manager and is part-time, working 28 hours per week.

Responsibilities

  • Codes invoices in a timely and accurate manner for approval.
  • Maintains resident records to comply with appropriate affordable housing and state regulations.
  • Maintains property management software to accurately reflect current operational circumstances.
  • Responsible for collection of rent and other income, and properly depositing and recording receipts in a timely manner.
  • Prepares and delivers notices to residents (e.g., lease violations, termination, inspection, work order).
  • Coordinates move-in date with maintenance rent-ready date.
  • Manages the leasing process from initial application to move-in, following and enforcing all fair housing and landlord-tenant laws.
  • Effectively markets the property to ensure occupancy goals are met and builds a positive community image.
  • Ensures the property meets financial performance goals.
  • Manages customer service requests and ensures timely and satisfactory completion.
  • Collaborates with the site team and residents to create and strengthen a healthy community, facilitate on-site communication, and monitor property goals.
  • Maintains waiting list in accordance with federal regulations.
  • Ensures an appropriate number of applicants remain pre-qualified for timely move-in when notice to vacate is received.
  • Enforces agency regulations, lease terms, and house rules.
  • Ensures maintenance staff complete unit turns timely, process invoices timely, and maintain excellent curb appeal.
  • Recruits for the onsite team.
  • Oversees maintenance staff timecards are accurately logged and submitted for approval.
  • Accurately codes daily time in the timecard reporting system.
  • Performs other related duties as assigned.

Requirements

  • High school diploma or equivalent required; training in property or real estate management preferred.
  • 1-2 years of hospitality, office management, or administrative experience; professional training may substitute for experience.
  • Ability to effectively manage and solve problems.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficiency with property management software, Microsoft Office Suite, and related software.
  • Ability to write legibly and use a computer for word processing, spreadsheets, email, and web browsing.
  • Excellent verbal and written communication skills to interact with people from diverse backgrounds.
  • Ability to monitor budgets and maintain excellent interpersonal skills with negotiation tactics.
  • Ability to drive a car (valid driver’s license required) for errands and occasional travel for training.
  • Familiarity with laws, regulations, and best practices applicable to Fair Housing.
  • Ability to comprehend and manage complex regulatory requirements.
  • Proactive, independent, and able to take initiative.
  • Ability to maintain a professional personal appearance.

Work Environment

  • Office/building environment with occasional travel for errands or training.
  • Limited travel may be required between properties or for training events.
  • Frequently required to perform moderately difficult manipulative tasks such as typing and writing.
  • Must be able to walk, stand, and sit for extended periods; may lift up to 25 lbs.
  • Frequently required to read documents, watch training videos, and read numbers on a computer screen.
  • Must distinguish normal sounds with some background noise (e.g., phone calls, interactions with staff).
  • Must speak clearly and understand/be understood using the English language.
  • Frequently required to concentrate on intense detail with constant interruptions.
  • Must be able to attend to tasks for 1 hour or more and remember multiple tasks over several days.
  • Environmental conditions may include dust, potential loud noises, glare from computer screens, heat, and air conditioning.
  • Frequent use of computer, mouse, keyboard, scanner, telephone, copier, and fax machine.
