About the role
The Property Manager oversees the management of properties to increase their value through strategic planning and execution.
Responsibilities
- Develop and maintain an in-depth understanding of the property, including its physical condition, mechanical systems, and structural integrity.
- Oversee daily activities such as accounting timelines, ensuring the accuracy of new tenant set-ups, coding and data entry of payables, work order timelines, and tenant service.
- Serve as the primary point of contact for the on-site property team, ensuring that all internal tasks and projects are completed on time.
- Maintain and update files for each property, including information on buildings, utilities, contractors, contracts, emergency procedures, property insurance, and other operational necessities.
- Prepare and maintain annual budgets, business/leasing assumptions, CAM reconciliations, and quarterly reports.
- Review and reconcile operating statements and aged receivables on a regular basis, addressing discrepancies as necessary.
- Track and manage property budgets to ensure financial obligations are met.
- Develop and implement a tenant relations program, managing tenant complaints and resolving issues professionally and promptly.
- Compose and send tenant correspondence and property memorandums.
- Administer tenants' and landlords' compliance with lease terms and handle defaults according to company policies and procedures.
- Inspect properties weekly and monthly for maintenance needs and tenant compliance.
- Keep certificate of insurance documents up to date for all tenant and vendor contractors.
- Investigate accidents, vandalism, and property damage, writing and submitting reports to Corporate Risk Management, and discussing insurance issues with appropriate personnel.
- Contract with vendors for property operations, including landscaping, HVAC, parking lot sweeping, storm drain cleaning, electrical, plumbing, trash, and other services.
- Obtain bids for capital jobs and tenant improvements, preparing spending approval forms and contracts as needed.
- Manage capital and tenant improvement projects, including general contractor oversight, obtaining labor and material releases, and posting notices of non-responsibility.
- Perform move-in and move-out inspections, completing related paperwork for security deposit refunds or closing out tenant accounts.
- Communicate and prepare space for turnover, including janitorial, painting, carpet, utility changes, and ordering park-specific signage.
- Maintain lease rollover records and track pending transactions and follow-up items.
- Utilize company procedures and tracking methods to meet internal audit requirements.
- Type correspondence, leases, reports, memos, and other documents, copy, distribute, and file them accurately and timely.
- Maintain tenant and vendor files, ensuring good record-keeping and following up with written notifications.
- Review and correct A/P vouchers for accuracy and completeness on a weekly basis.
- Print and distribute monthly Lease Status reports and other departmental reports.
- Maintain key and lock distribution to tenant suites.
- Additional duties and special projects as assigned.
Requirements
- A minimum of five years’ property management experience in commercial/office and/or industrial settings, with experience in property maintenance, tenant improvements, tenant complaints, vendor contracts, lease administration, and enforcement.
- Knowledge of real estate law, finance, accounting practices, and procedures.
- Strong ability to read and interpret lease documents.
- Proficient computer skills, including Microsoft Office and property management software systems (Yardi experience preferred).
- Excellent written and oral communication skills.
- Organized, detail-oriented, and capable of multitasking.
- Good customer service skills when interacting with tenants, vendors, and others.
- Dependable, reliable, cooperative, and able to work in a team-oriented environment.
- A positive attitude and cheerful disposition.
Skills
