Responsibilities
- Ensure properties are maintained in a first-class condition.
- Perform weekly inspections of building operations, identify areas needing attention, follow up on maintenance or capital improvement projects, and ensure satisfactory function and appearance of the properties.
- Be thoroughly knowledgeable of company policies, procedures, and programs affecting day-to-day operations of buildings.
- Aid in the implementation of the tenant engagement platform and oversee tenant relations through personal contact, issue resolution, and promoting tenant satisfaction.
- Review and monitor tenant service requests to ensure prompt and accurate handling, and communicate issues to onsite staff.
- Manage annual contract reviews and bidding processes in accordance with client and lease requirements.
- Purchase supplies, materials, and equipment, and manage service and supply contracts to ensure compliance and accuracy.
- Maintain and update property site rules and regulations, building standards, tenant handbooks, security procedures, emergency preparedness programs, insurance, and tenant information.
- Supervise building staff and vendor partners, including janitorial, engineering, and security staff.
- Prepare annual operating budgets and expenses, tenant estimate billings, and reconciliations, and prepare monthly/quarterly/annual operating reports.
- Monitor all receivables, ensure prompt collection of outstanding amounts, and review and confirm coding of vendor invoices.
- Address vendor statements and inquiries related to accounts payable.
- Answer phones and distribute mail, and respond to after-hours emergencies.
- Collaborate with other Property Management staff on budgeted R&M and larger capital projects.
- Ensure tenant adherence to lease requirements and property rules and regulations.
- Respond to client inquiries/requests assigned to position.
- Maintain an open dialogue with supervisor, providing relevant information about property operations.
- Participate in lease administration and lease abstracting into Yardi.
- Collaborate with brokers on leasing calls.
- Maintain relationships and communicate with building owner or asset manager to align with owner's goals.
Qualifications
- A minimum of 4 years in commercial property management, including at least 2 years as a property manager.
- At least one class completed toward RPA, CPM, or similar certification (LEED, Fitwel), or real estate salesperson license preferred.
- Candidates without such coursework will be encouraged to commence coursework with support from Hospitality at Work if hired.
- A Four-year college degree preferred.
- An equivalent combination of education, certifications, and experience in lieu of a four-year college degree will be considered.
- Familiarity with underwriting, pro-formas, property condition reports or assessments (PCR/PCA), basic loan documents, loan draws and process, and property management agreements.
- Service-oriented and capable of interacting and clearly communicating with all levels of individuals and groups of people both orally and in writing.
- Planning and organization skills, with excellent attention to detail.
- A strong understanding of financial accounting principles and the ability to analyze and interpret reports.
- Ability to read, analyze, and interpret leases, general business periodicals, professional journals, technical procedures, and government regulations.
- Ability to write reports, business correspondence, and procedural manuals.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to accomplish directives with minimal supervision; must show consistent follow-through.
- Proficiency with Microsoft Word, Excel, and Outlook required.
- Experience with Yardi accounting system is preferred.
