About the Role

Island Home & Estate Management is seeking a highly organized, service-oriented professional who understands how to deliver an exceptional client experience while coordinating the people, projects, vendors, and details required to make that happen. This is a property management role, but it is not traditional. What matters most is your ability to build trust with discerning clients, communicate proactively, coordinate complex work, solve problems, and follow through at a very high standard. You will serve as the primary point of contact and trusted relationship manager for a portfolio of high-value residential properties. This role blends hands-on property oversight with proactive client communication, ensuring homeowners feel confident their property is being cared for at the highest standard — even when they’re not on-site.

The ideal candidate is naturally proactive, highly organized, detail-oriented, and comfortable taking ownership. You might come from a luxury hospitality, high-end residential services, or another high-touch client environment. You may be a home inspector for luxury properties, a project manager for custom homes, an account manager for a smart home systems provider, private aviation or yacht management, or any number of other industries where the level of service, professionalism, and attention to detail exceeds traditional property management requirements.

Responsibilities

Client Relationship Management

  • Serve as the dedicated point of contact for assigned clients, building long-term, trust-based relationships.
  • Provide regular, proactive communication (updates, inspection summaries, seasonal reminders) rather than waiting for issues to arise.
  • Anticipate client needs and concerns, especially around storm prep, seasonal transitions, and maintenance planning.
  • Handle client concerns and service requests with professionalism, empathy, and prompt follow-through.
  • Manage expectations clearly around timelines, costs, and vendor work.

Property Oversight

  • Conduct regular property inspections and document condition, maintenance needs, and any issues.
  • Coordinate and oversee vendor services (landscaping, pool, pest control, HVAC, storm prep, holiday lighting, etc.).
  • Ensure properties are maintained to a high standard consistent with South Florida coastal property needs.
  • Respond to and resolve maintenance issues in a timely manner.
  • Manage keys, access, alarm codes, and security protocols for each property.

Vendor & Operations Coordination

  • Source, vet, and manage relationships with reliable vendors and contractors.
  • Review vendor invoices and ensure work quality matches billed services.
  • Negotiate vendor pricing and contracts where applicable.
  • Maintain accurate records of property details, vendor agreements, and service history.

Administrative & Reporting

  • Maintain organized digital records for each property (inspection reports, vendor contracts, communications).
  • Provide regular status reports to clients and management.
  • Track and manage recurring maintenance schedules and seasonal to-dos (e.g., storm prep, holiday decor).

Requirements

  • 2+ years of high-end account management, customer success, project management, hospitality, or client-facing service experience.
  • Punctual and dependable, with strong follow-through on commitments.
  • Excellent written and verbal communication skills — a good communicator who is comfortable managing sensitive client relationships.
  • Strong multitasker, able to organize and manage multiple properties and vendors simultaneously.
  • Able to stand, walk, and work outdoors for extended periods, including in South Florida heat and humidity.
  • Ability to lift up to 25 lbs and perform frequent bending, kneeling, and reaching as part of routine property inspections and upkeep.
  • Working knowledge of South Florida coastal property needs (hurricane prep, humidity/mold concerns, pool/landscaping upkeep).
  • Comfortable with digital tools for scheduling, reporting, and CRM/client communication.
  • Valid driver’s license with a clean driving record; reliable transportation.
  • Availability for occasional after-hours or emergency response (e.g., storm events).

Clients feel like they have a dedicated advocate looking after their home — not just a vendor coordinator. They trust the Property Manager’s judgment, feel informed without being overwhelmed, and know issues will be handled before they become problems.
