About the role
We are looking for a Property Administrator, Property Manager, Assistant Property Manager, Property Accountant, or Property Accountant to support the day-to-day operations of various residential and commercial properties in multiple locations. These roles offer opportunities for individuals with relevant experience to make a meaningful impact in the real estate industry.
Responsibilities
- Support the day-to-day operations of a busy leasing office, serving as the first point of contact for prospective and current tenants.
- Manage annual and interim certification workflows for assigned properties, ensuring documents are completed accurately and within required deadlines.
- Review resident files for completeness and compliance with affordable housing regulations, company policies, and program guidelines.
- Coordinate with residents and applicants to gather income, asset, and household verification needed to support eligibility determinations.
- Prepare and organize occupancy-related records for agency reviews, investor submissions, and internal audits.
- Maintain clear and timely communication with residents, housing partners, and operational teams regarding documentation status and next steps.
- Track recertification schedules and follow up proactively to reduce delays and support continued program compliance.
- Enter, update, and monitor occupancy and resident information within Yardi and related property management systems.
- Oversee daily management activities for commercial properties, ensuring a positive experience for tenants and consistent service for clients.
- Collaborate with the General Manager and ownership stakeholders to define property objectives, establish strategic operating plans, and develop annual operating and capital budgets.
- Monitor financial performance by tracking revenue, expenses, cash flow, and other key metrics, and take action to support profitability goals.
- Coordinate leasing-related efforts, capital projects, and property improvement initiatives to support occupancy, asset value, and operational efficiency.
- Direct the work of leasing personnel, contractors, vendors, and building staff to ensure projects and services are delivered effectively and on schedule.
- Oversee contract administration and vendor relationships, including scope review, performance follow-up, and service quality management.
- Maintain compliance with required organizational procedures, reporting standards, and property management processes.
- Manage monthly, quarterly, and annual close activities, including preparation of supporting schedules, account analysis, and timely follow-up on outstanding issues.
- Develop budgets and forecasts for assigned properties, monitor cash activity, and highlight significant variances or financial trends to stakeholders.
- Prepare property financial statements using applicable reporting frameworks, including historical cost, fair value, and tax basis accounting.
- Partner with external auditors during annual audits by assembling requested documentation, responding to inquiries, and supporting the year-end review process.
- Review selected operating and capital expenditures, including taxes, insurance, and capital projects, to confirm proper coding and approval.
- Interpret retail lease terms related to recoveries and reimbursements, calculate tenant charges, and prepare annual reconciliation packages with supporting detail.
- Complete required sales tax filings and help ensure compliance with applicable regulatory and reporting obligations.
- Oversee lease administration, receivables, and payables activities to promote adherence to company procedures and maintain accurate property records.
- Manage the complete accounting cycle for assigned properties, including accounts receivable, accounts payable, and general ledger maintenance.
- Prepare monthly financial statements, variance analyses, and property budgets to provide clear insights into property performance.
- Collaborate with property management teams to review financial data, address discrepancies, and ensure accurate reporting.
- Process tenant billings, manage security deposit accounting, and handle common area maintenance (CAM) reconciliations.
- Maintain organized and accurate property records in Yardi, ensuring proper documentation and coding.
- Assist with annual audits, tax filings, and other financial tasks as needed.
Qualifications
- Proven experience in property management or accounting.
- Strong attention to detail and organizational skills.
- Experience with property management systems such as Yardi.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and property management software.
