The Property Assistant in Greenwich, CT is responsible for managing various tasks within the Property Management team. Duties include acting as the initial point of contact for tenants and vendors, updating property contact lists, coordinating deliveries, maintaining property files, and assisting with administrative tasks.

  • Act as the first point of contact for tenants and vendors entering the office; escalate issues as needed
  • Update and maintain property contact lists and emergency information
  • Coordinate, schedule, and assist with deliveries to and from the dock area
  • Promote and foster positive relationships with tenants, owners, and staff
  • Maintain invoices by coding for property manager approval, recording/maintaining invoice tracking spreadsheet, and submitting for payment
  • Create, submit, distribute, and track vendor contracts
  • Maintain the property work order system in the CMMS, including inputting and dispatching work orders, time tracking, and reporting
  • Maintain all Vendor Certificates of Insurance, W-9s, and other necessary forms
  • Conduct property inspections and reports to ensure quality assurance and efficient service
  • Assist in reviewing and compiling monthly and quarterly reports for the client and property management team
  • Provide full administrative support including phone support, typing, reports, filing, and distribution of correspondence
  • Coordinate and assist with meetings/special events held at the property as requested
  • Aid in keeping the Client’s Policies and Procedures up-to-date and current
  • Order office and kitchen supplies as needed
  • Handle other duties as assigned

Desired competencies and experiences include a four-year degree and two years of related experience, familiarity with commercial real estate documents and the work order process, proficiency in Microsoft Office applications, strong interpersonal and communication skills, and proven record of excellent customer service.

This position is 100% in-office, requiring standard business hours. No remote work or telecommuting is available. The salary range is $32 - $32 USD, and the role is subject to a background check and verification of work authorization.
