About This Opportunity

What You’ll Be Doing

  • Assist with daily operations (prepare correspondence, memos, documents, and reports; resolve routine inquiries; maintain department databases and trackers)
  • Provide support in the fiscal management of the properties in assigned area (maintain A/R and A/P, operating expense control, assist in preparing budgets as well as monthly and annual financial reports, assist with CAM reconciliation support and tenant billing dispute documentation)
  • Provide support in the management of properties’ physical performance (file or related tasks such as inspections, signage approval, soliciting bids, etc.)
  • Assist in maintaining good relations with tenants and vendors
  • Provide support for tenant transitions such as managing utilities transfers, insurance compliance, gathering sales reports, Versapay set up, as well as coordinating lease administration milestones (tenant move-in/move-out checklists and critical date tracking)
  • Work on special projects/ongoing initiatives according to current needs, as delegated
  • Invoice coding
  • Understand the PO process and request missing POs to be created
  • Create contracts (CAPS, routine maintenance, and white box/landlord work)
  • Process utility change forms and follow up to ensure tenants have placed utilities in their name
  • Maintain tenant contacts, service contracts, and utility spreadsheets
  • Provide other administrative support as needed across the team

Are You Qualified?

  • Required: Bachelor’s degree in Business Administration, Accounting, or related field
  • At least one (1) year of related experience in a professional office environment
  • Quantitative and analytical skills, along with a strong attention to detail
  • Intermediate level proficiency with current Microsoft Office software, email, and Internet research functionality
  • Ability to quickly learn and use new programs (software such as Nexus, JD Edwards, Engie, Versapay, etc.)
  • Ability to occasionally travel to shopping center properties within the portfolio on as needed basis

PREFERRED

  • Some undergraduate real estate courses or experience in property administration, ideally for retail properties
  • Prior related experience in the commercial real estate industry, legal field, or related field
  • Working knowledge of JD Edwards or other accounting software
  • Familiarity with AI tools and platforms (e.g., Microsoft Copilot, ChatGPT, Claude, or similar) for streamlining administrative processes, drafting correspondence, and improving operational efficiency overall
