About the Role

The Commercial team is seeking a Property Administrator to oversee our California Walnut Creek Commercial Real Estate Management Office. This role requires a detail-oriented, multitasking professional with excellent communication skills to manage daily office operations and financial transactions across the commercial portfolio.

Responsibilities

  • Daily Operations: Serve as the first point of contact for tenants, visitors, vendors, and employees, ensuring a seamless customer experience. Handle phone inquiries, emergency service requests, and new tenant onboarding with professionalism and care.
  • Financial and Accounting Responsibility: Oversee office invoices, code accounts payable, and review accounts receivable. Prepare and review contracts, ensure accurate rent billing, monitor operating expenses, maintain insurance policies, and track budgets for accuracy and variance.
  • Office Management: Coordinate and organize office operations, update department policies and procedures, and foster a fun team environment. Manage administrative tasks such as ordering supplies and planning team events.

Requirements

  • Education & Experience:
    • High school diploma or GED (required). Bachelor’s degree (preferred).
    • Minimum of two years in an office administration role; property administration experience (preferred).
    • Minimum of one to two years in residential or commercial property management.
    • Minimum of one year of accounts receivable, accounts payable, invoicing, and billing experience.
  • Core Competencies:
    • Ability to focus and complete tasks on time despite frequent interruptions.
    • Strong written communication, active listening, and verbal articulation skills.
  • Technical Competencies:
    • Proficiency in Microsoft Office, with strong math and Excel skills.
    • Basic accounting experience, including the ability to review and understand ledgers.
  • Cultural Traits: Team-oriented, communicative, entrepreneurial, passionate, self-starter, creative, principled, and a brand ambassador.

Pay

Compensation pay range: $33.50 to $42.00 per hour. Includes a discretionary annual bonus plan.
