We are seeking a Property Administrator to support the on-site management team in the day-to-day operation of the portfolio. This is an excellent entry-level position into the commercial property management industry. The role reports to a General Manager and involves daily liaison with the commercial property management team, service providers (including security and cleaning staff), contractors, and tenants.
Responsibilities
- Receive incoming service requests—via phone, email, or in-person—from tenants and respond by providing information, problem-solving, or escalating the matter as appropriate.
- Draft all-tenant communication materials for review by the General Manager and ensure these materials (e.g., welcome/move-in and emergency procedures packages) are maintained accurately and up-to-date.
- Monitor the collection of rental payments, undertake collection efforts, and provide weekly reports on the status of accounts receivable.
- Prepare tenant chargeback invoices through Angus.
- Administer the Angus Anywhere work order system.
- Provide direct support to management.
- Maintain and update the contract service vendor log, including contract amounts and commencement/expiration of services.
- Coordinate and prepare quarterly reports and assist with the preparation of the annual budget.
- Respond to tenants and corporate accounting staff regarding accounts receivable.
- Assist in the tendering process for supplies and services, including coordinating specifications and tendering of contracts.
- Respond to contractors’ queries and correspondence.
- Maintain and update the Building Emergency Evacuation Plan.
- Maintain tenant contact lists, vendor and fire warden lists, and emergency call-out lists.
- Maintain insurance binders for tenants and vendors (including WSIB) to ensure all requirements are met.
- Enter purchase orders in JDE and distribute/place orders.
- Assist with events and activities for tenants.
Requirements
- Completion of a post-secondary degree or diploma is preferred.
- Enrollment in the Real Property Administrator (RPA) certificate program.
- A minimum of five years of progressive work experience in an office setting, with responsibility for providing administrative support, is highly desirable.
- Exposure to the commercial property management industry is preferred.
- Excellent verbal and written communication skills.
- Superior interpersonal and customer service skills.
- Strong working knowledge of Microsoft products (MS Word and Excel).
- Experience working with JDE EnterpriseOne is desirable.
- Demonstrated ability to work effectively in a deadline-driven environment.
Pay
Annual base salary of $49,000 to $55,000.
