About the role

The Property Administrator supports the Property Manager in providing administrative and building operations support. Key responsibilities include assisting with the implementation of new programs, ensuring policies and procedures are followed, and managing tenant relationships.

Responsibilities

  • Aid in the preparation of the annual budget process for assigned buildings.
  • Draft and distribute correspondence to tenants.
  • Manage rent collection, cheque posting, and application of monies to tenant accounts.
  • Monitor and control tenant arrears; reconcile tenant accounts; report weekly on account receivables.
  • Prepare and issue rental charge invoices and letters.
  • Prepare and issue purchase orders. Reconcile purchase orders against invoices.
  • Aid in client relationship management.
  • Handle tenant queries and issues, ensuring all reasonable tenant needs are met in a professional and timely manner.
  • Ensure compliance with lease terms and other relevant acts and by-laws.
  • Assist with day-to-day operations, including custodial, life-safety, engineering, site services, and general maintenance.
  • Coordinate and supervise contracts, including periodic reviews of service contracts.
  • Coordinate annual fire inspections and deficiency repair schedules with contractors and tenants.
  • Assist in the development and preparation of budgets, financial reports, and other facility-related documents.
  • Support the maintenance of the Preventative Maintenance Program (Angus AnyWhere).
  • Assist with the development and preparation of various budgets, financial reports, and other facility-related documents.

Requirements

  • 3+ years of related Property Management experience or post-secondary courses in property management.
  • Strong communication and interpersonal skills, both oral and written.
  • A focus on customer service and working as part of a team.
  • Ability to meet deadlines, prioritize tasks, and work well under pressure.
  • Results-oriented, detail-oriented, and accurate.
  • Proficiency in Microsoft Word, Excel, and Outlook.
  • Experience with Yardi accounting system is a definite asset.

Qualifications

  • Valid driver's license and operable vehicle for travel within the portfolio.

Skills

  • Numbers aptitude, including accounting procedures, account reconciliation, and financial data interpretation.
  • Detail-oriented with the ability to work under pressure and meet deadlines.
  • Excellent customer and tenant service orientation.
  • Organizational and multi-tasking skills, combined with strong communication skills.
