Job Title: Project Manager, Retail & Facilities Position Type: Full Time / Salary, Exempt Reporting To: Director of Eyewear Location: Z SUPPLY Headquarters Costa Mesa, CA Work Type: HYBRID In Office 4 Days a Week / Friday Work From Home* Due to the facilities and project-based responsibilities of this position, additional on-site presence may be required based on business and project needs. Job Overview The Project Manager, Retail & Facilities, is responsible for planning, coordinating, and executing Z SUPPLY’s retail buildouts, Shop in Shop installations, tradeshow environments, corporate facilities projects, and other special projects. This role will manage the full project lifecycle, including site assessments and field measurements, project scope, budgeting, timelines, vendor selection and management, fixture production, installation, and final project completion. The position will also have significant responsibility for Z SUPPLY’s Costa Mesa headquarters, serving as a primary point of contact for building-related projects, repairs, maintenance, workspace modifications, furniture needs, office moves and ongoing facility improvements. The ideal candidate combines strong project management skills with practical knowledge of retail environments, millwork, construction, and facilities. They are equally comfortable reviewing drawings, working with vendors, walking a job site, troubleshooting an installation, and coordinating with internal stakeholders to keep projects moving. Position Duties / Responsibilities Retail, Shop in Shop & Fixture Projects Lead all aspects of Z SUPPLY Shop in Shop projects from initial concept through installation and completion.Oversee Z SUPPLY’s existing Shop in Shop locations, as well as future retail installations and expansions.Conduct and/or coordinate site visits, field measurements and site assessments.Partner with internal creative and business teams to translate concepts into executable retail environments.Coordinate fixture design, technical drawings, specifications, fabrication, production, shipping, and installation.Manage millwork, fixture, installation, and other external vendors.Review project drawings, plans and specifications for accuracy and feasibility.Identify and resolve fabrication, site, and installation issues.Develop, produce, and deploy Point of Purchase materials, signage and other retail presentation elements as needed.Maintain project schedules, budgets, and status updates across multiple simultaneous projects.Track project costs and proactively identify potential budget or timeline concerns.Conduct final walkthroughs and ensure punch-list items are completed. Facilities & Headquarters Management Serve as a primary point of contact for day-to-day facilities needs at Z SUPPLY’s corporate headquarters.Oversee general building maintenance, repairs, and facility-related service requests.Coordinate and manage external vendors and service providers, including general contractors, electricians, plumbers, HVAC, furniture installers, movers, and other building-related partners.Manage office buildouts, workspace modifications, custom fixtures, and internal construction projects.Coordinate office moves, department relocations, workstation changes and furniture installation.Source furniture, fixtures and equipment for office and facility needs.Manage preventative and recurring maintenance needs and schedules.Conduct regular facility walkthroughs to identify maintenance, repair, safety, and appearance needs and coordinate timely resolution.Maintain organized records of facilities vendors, service agreements, warranties, project documentation and relevant building information.Partner with internal teams to coordinate building access and minimize disruption during repairs, construction, and installations.Support space planning and workspace utilization as business needs evolve.Manage facility improvement projects from initial scope and budgeting through vendor coordination and completion.Support planning and execution of future office, building and warehouse expansion or relocation projects.Respond to urgent facilities issues and coordinate appropriate vendors and resources for resolution.Help ensure Z SUPPLY’s physical work environment remains safe, functional, organized, and aligned with the company’s brand and employee experience. Tradeshows, Showrooms & Special Projects Support the conceptualizing, planning and execution of tradeshow booths, showrooms, and branded environments.Coordinate fixture production, furniture, materials, shipping and installation for tradeshows and showrooms.Provide hands-on support for tradeshow and event setup and breakdown as needed.Manage showroom buildouts, provide regular refresh, and oversee relocations.Coordinate special construction, fixture, and space-planning projects across the organization.Create and/or coordinate CAD drawings and renderings for Shop in Shop locations, tradeshows, showrooms, facilities, and other projects.Partner cross-functionally with Creative, Marketing, Merchandising, Sales, Operations, and other departments to execute projects successfully.Perform other related project and facilities duties as assigned by management. Qualifications / Experience / Skills / Competencies 3+ years of project management experience, preferably within retail environments, commercial construction, millwork, fixtures, facilities, or a related industry.Strong knowledge of custom millwork, woodworking, fixtures, fabrication materials and installation techniques.Must possess a valid driver’s license and an insurable driving record. Must be able to meet all operational and third-party requirements to legally drive and rent company or commercial transport vehicles/trucks as required by the position.Experience managing retail buildouts, Shop in Shop environments, showrooms or similar branded spaces strongly preferred.Experience managing facilities, office improvements, construction projects and/or building maintenance strongly preferred.Demonstrated ability to manage multiple projects, vendors, budgets, and deadlines simultaneously.Strong understanding of project budgeting, scheduling, and vendor management.Experience reading architectural plans, shop drawings, elevations, and technical specifications.Ability and willingness to visit job sites, take field measurements, inspect work, and oversee installations.Strong problem-solving skills with the ability to troubleshoot fabrication, construction, and installation issues.Proficient in Microsoft Office, including Outlook, Word, and Excel. Working knowledge of Adobe Illustrator and Photoshop preferred. SketchUp, CAD and/or rendering experience preferred.Strong written and verbal communication skills. Highly organized, detail-oriented and proactive.Strong follow-through and sense of ownership. Ability to work independently while collaborating effectively across departments.Comfortable working in a fast-paced environment with shifting priorities and multiple concurrent projects.Professional, dependable and solutions oriented.Ability to build strong working relationships with vendors, contractors, internal partners, and external retail partners.Ability to travel as needed based on project needs.
