Program Management Overview

Program management involves identifying and coordinating the inter‑dependencies among projects, products, and other strategic initiatives across the organization. This includes overseeing the whole program—potentially split into sub‑projects managed by different project managers—managing the interaction of those managers and teams, and delivering successful program outcomes. A program is a group of related projects (or a combination of projects and programs) that together support a strategic business initiative such as launching a product, implementing a new sales process, or opening a new location.

Key Responsibilities

• Implement programs within given budget, timeline, and quality constraints.
• Ensure customer satisfaction in service implementation and efficiency in program delivery.
• Follow PLC process landscape and compliance requirements.
• Take accountability and responsibility for assigned process roles.
• Spend budgeted time on planned tasks and document all steps, decisions, and checklists in the Product Lifecycle.
• Lead and/or coordinate cross‑functional project/program teams from design to delivery of fully‑developed products ready for customer use.
• Conduct daily program management throughout the program/product life‑cycle.
• Define program governance and plan the overall program while monitoring progress.
• Define cross‑functional interfaces and manage/utilize resources across projects.
• Coordinate program time schedules, manage the program’s budget, and address overlapping program risks and issues with corrective actions.
• Coordinate program inter‑dependencies and manage stakeholder communication.
• Maintain and manage workflow approvals (PLC gates).
• Identify, analyze, and mitigate risks associated with program activities; develop contingency plans for potential challenges or delays.
• Investigate facts and develop solutions to problems during design and planning phases.
• Contribute to and liaise with product management, supply chain management, production, marketing, engineering, and sales.

Senior‑Level Responsibilities

• Develop and improve the PLC process.
• Onboard and train new Program Managers.
• Define new process steps, improvements, automations, and tools.
• Lead a group of Program Managers, aligning deliverables to program outcomes.
• Manage main program documents and common change management.
• Monitor performance and recommend schedule changes, cost adjustments, or resource additions.
• Manage own productivity as well as the productivity of other program managers and stakeholders.
• Drive implementation of new tools, educate stakeholders, and develop trainings within the Utimaco Academy.
• Drive and manage time reporting, including tool and process support for all relevant stakeholders in the PLC process.
