Key Responsibilities
- Work directly with the Managing Partner to plan, organize, and execute a variety of executive-level projects
- Act on behalf of the Managing Partner in communications with internal teams, vendors, and outside parties when directed
- Drive projects forward independently — anticipate roadblocks, follow up proactively, and push initiatives through to completion
- Manage multiple projects simultaneously, adjusting priorities as the Managing Partner's needs shift
- Obtain and compare quotes from vendors and service providers to support decision-making
Coordination & Communication
- Serve as a liaison between the Managing Partner and internal departments to keep projects moving
- Communicate clearly and professionally with staff, vendors, and outside contacts, both verbally and in writing
- Track project status, deadlines, and deliverables, providing regular updates to the Managing Partner
- Use project management tools and general software platforms to organize tasks, timelines, and communications
Qualifications
- Prior experience in professional services (law, finance, insurance, healthcare admin, etc.)
- Demonstrated ability to improve workflows, streamline systems, and lead through change
- Comfortable using data and metrics to track performance and drive accountability
- Strong communication and leadership presence
- Fast learner with a bias toward action and big-picture thinking
- Bachelor’s Degree (Preferred)
- Proficiency in Microsoft Office applications (Word, Outlook, Teams)
- Strong technology and software proficiency; comfortable learning and using new tools quickly
- Excellent written and verbal communication skills
- Highly self-motivated, resourceful "go-getter" who can work independently with minimal supervision
- Proven ability to manage several projects at once and keep them moving to completion
- Strong judgment and discretion when representing the Managing Partner
- Comfortable working a hybrid schedule, 9:00 AM – 5:30 PM PST
- Prior experience in a project management or executive assistant capacity
