Project Manager - Commercial

About the Role

The Operations Project Manager supports sales, operations, and production teams by optimizing business systems, improving process efficiency, and ensuring accurate and timely job costing. This role serves as a subject matter expert on system workflows, provides training, and leads key technology and process-improvement initiatives.

Responsibilities

• Contract Review
  • Review contract scope of work and dollar values with the Account Executive (AE).
  • Ensure the Scope of Work (SOW) aligns with the bid.
  • Verify all items listed are within normal installation processes and note discrepancies.
  • Check the Schedule of Values (SOV) against the bid/proposal to ensure all dollar values are accounted for.
  • Review billing procedures (Procore, Textura, GC Pay, etc.) and coordinate with Project Coordinators (PC) on monthly billing requirements.
• Bid/Take-Off Review
  • Review bid/take-off with AE to ensure dollar values match the contract.
  • Split out areas as needed for SAP structure.
• Plans/Diagrams Review
  • Review contracted plans and diagrams, working with AE for any questions.
  • Ensure diagrams match what was contracted.
  • Review plan drawings and specifications for accuracy and constructability.
  • Monitor RFIs/ASIs/addendums and track revisions throughout the project.
• Prepare Labor Offer for Subcontractor
  • Review labor rates from the bid.
  • Set up labor rate offer in Excel format, often with input from AE.
  • Review labor rates with AE and MF Operations Manager.
  • Send labor rate offer to Subcontractor for review and approval.
  • Once approved, extend labor rates in SAP.
• On-site Coordination with GC Personnel
  • Work with Project Manager, Project Engineers, and Site Superintendents from general contractors for all project needs.
  • Manage project schedule throughout the project.
  • Use the project schedule to determine procurement and delivery timelines.
  • Work with MF Operations Manager to determine labor needs based on the project schedule.
  • Attend weekly job-site meetings (virtual or in-person).
• Change Orders/RFIs
  • Create change orders when changes to the contract are requested, looping in AE for larger change orders or pricing strategy.
  • Include add-ons/deducts, request pricing/stock checks/samples.
  • Send change orders to the builder.
  • Use Excel templates to bid change orders.
  • Track and organize change orders in the project folder.
  • Use the change order tracker to monitor each change order sent.
  • Follow the change order approval process.
• Production Set Up
  • Set up basic project information and submittal log(s).
  • Manage submittals.
  • Create internal SOV for the project.
  • Create cut-sheets and diagrams for the project.
  • Break down work orders to mirror how the project will be installed.
  • Project Coordinators (PCs) will key work orders.
• SAP Set Up
  • Verify that the community has been set up by AE and complete ZIB if needed.
  • Ask PCs to kick off the lot in SAP.
• Forecasting
  • Work with the team to accurately forecast monthly numbers and update as needed.
• Monthly GC Billing
  • Manage internal SOV for monthly billings.
  • Update internal SOV with issued change orders.
  • Color-coordinate monthly billings within the SOV.
  • Work with PCs for any billing questions or issues.
  • PCs are responsible for billing the GC and in SAP.
• Service Account / Relationship Building
  • Problem-solve with customers.
  • Be reachable, responsive, and proactive in customer interactions (e.g., treat to lunch, bring doughnuts to the jobsite, visit their main office).
  • Develop customer relationships to encourage repeat work.
