About the Role

The Project Manager oversees end-to-end execution of large-scale events, from design and development through closing. This role ensures profitable and successful event delivery by adhering to Technical and Production Standards, implementing processes, and driving consistency in event production. The Project Manager collaborates with Project Management, Sales, and Operations teams to determine technical requirements and communicate execution plans. This position reports to the Associate Director, Project Management and may supervise Associate Project Managers on multi-PM events.

Responsibilities

  • Event Project Management
    • Prepare and communicate technical production & labor schedules, sub-rental requirements, project scope, execution plans, and individual responsibilities to team members, vendors, and venue partners.
    • Determine and secure resources required for project completion.
    • Maintain focus on client needs by attending meetings, organizing show documentation, and addressing client concerns.
    • Monitor and adjust project scope throughout the planning process to ensure successful completion.
    • Assist Sales and Operations teams in determining equipment needs and technical solutions.
    • Create technical diagrams as required.
    • Review sales documents to confirm equipment and technical positions meet client needs.
    • Develop and maintain strong client relationships, providing outstanding customer service to drive retention.
    • Lead Associate Project Managers on multi-PM supported events.
  • Event Execution
    • Act as the project leader and onsite client contact throughout the event.
    • Manage all phases of event technical execution, from load-in to load-out.
    • Oversee inventory management during the event.
    • Communicate project plans and client expectations to the event team.
    • Manage onsite changes, including schedule, equipment, or workforce modifications.
    • Mentor Encore Team Members on event execution and best practices.
    • Ensure compliance with Technical and Production Standards.
    • Follow up with clients on-site to confirm their needs are met and equipment is functioning properly.
  • Financial Management
    • Assist in creating, analyzing, and executing project budgets, partnering with regional leadership to mitigate external workforce and sub-rental spend.
    • Manage event costs to align with budget and communicate onsite changes to Sales for billing.
    • Assist with post-event client invoicing.
    • Work with operations management to ensure prompt payment of external vendors.
    • Ensure compliance with Encore Policies and Procedures to minimize liability and property-related risks.
  • Administrative & Training
    • Complete post-event processes, including reporting, workforce hour verification, and outsourced equipment return.
    • Participate in developing Project Management SOP’s.
    • Conduct review and analysis of proposed events as required.

Requirements

  • BA/BS Degree or equivalent experience.
  • 4+ years of technical experience in the Corporate Staging or Broadcast industry.
  • Project Management experience preferred.
  • 1+ year of Supervisory experience preferred.
  • Strong written and oral communication skills.
  • Strong technical background.
  • Proven client relationship skills.
  • Familiarity with budgets and cost control.
  • Operational logistics experience.
  • Ability to work under pressure and manage multiple complex tasks in a fast-paced environment.
  • Proficiency in MS Office required.
  • Technical diagram knowledge/experience preferred.
  • Ability to travel up to 50% may be required.

Work Environment

  • Event Venue

    Work is performed in a hotel/event venue with moderate exposure to outdoor temperatures, dirt, sand, and/or dust. Conditions vary from moderately quiet to noisy. Team members use high-end audio-visual equipment and electrical components and may be exposed to heights via lifts and ladders. Work may occur in multiple locations, with irregular hours including days, evenings, weekends, and holidays. Adherence to appearance guidelines is required.

  • Office

    Work is performed in an office environment with irregular hours, including days, evenings, weekends, and holidays. Adherence to appearance guidelines is required when traveling or representing venues.

Pay

The pay range for this role is $80,926.07 - $105,203.89. Compensation is determined based on qualifications, location, travel, relevant experience, and skills. Some positions may be eligible for overtime, bonuses, or incentives.
