Division Assignment and Current Responsibilities
- Partner with the Director’s Executive Assistant to strategically manage the MOCS Executive Team’s calendars
- Track upcoming external engagements with City Hall, nonprofit sector leaders, construction sector leaders, and other key stakeholders and ensure that assigned MOCS staff deliver briefing materials on time
- Draft briefing memos and background documents to prepare MOCS Executive Team for meetings
- Track follow-up actions across the organization and ensure key deliverables are delivered on time
- Prepare agendas and minutes for Executive Team meetings
- Plan office-wide staff engagement opportunities, including the annual field day, staff appreciation party, and potluck
- Support MOCS Executive Team with organizational and administrative tasks to ensure smooth agency operations
- Identify and triage issues that are escalated to the MOCS Executive Team for appropriate handling
- Ongoing professional development to strengthen skills and increase knowledge in relevant areas of procurement, organizational skills, technology, government operations, and people management
- Special projects, as assigned.
PREFERRED SKILLS
- Demonstrate competency and/or history of consistent quality performance in the following areas of responsibility:

- - Experience working with executive level leaders
- - Experience managing high-volume calendars and deliverables
- - Ability to succinctly and effectively communicate verbally and in writing
- - Proven record establishing relationships quickly and effectively
- - Customer service focused and result oriented
- - Comfortable with ambiguity, taking initiative to define and execute critical tasks;
- - Flexibility in response to a fast-moving and evolving workload and shifting City and Agency needs
