Project Manager

We are a hybrid team of over 100 strategists, media experts, creatives, innovators, and analysts based in New York City and San Francisco.
About the Role
The Project Manager is a mid-level advertising agency position responsible for managing timelines and budgets, supporting collaboration, and facilitating integrated projects.
Responsibilities
- Lead integrated creative and production projects from intake through final delivery across social, digital, video, and direct mail executions.
- Partner with account leadership to define project objectives, requirements, timelines, budgets, and success criteria.
- Develop and maintain project scopes, estimates, schedules, workback plans, and resource allocations.
- Lead project governance, ensuring deliverables remain on brief, on schedule, and within budget; proactively identify risks, dependencies, and mitigation paths.
- Facilitate project kickoffs, status meetings, production reviews, and delivery checkpoints; maintain clear communication of project status, changes, and decisions to all stakeholders.
- Manage approval workflows, proofing cycles, and final asset delivery; coordinate receipt and review of client-supplied assets throughout the project lifecycle.
- Serve as the primary point of coordination across creative, production, account, and client teams to ensure seamless execution and quality standards.
- Maintain accurate, organized project documentation—including meeting notes, timelines, estimates, and financial summaries—and archive final assets per agency processes.
- Facilitate cross-functional alignment to help resolve project challenges through collaboration and solution-oriented thinking.
- Develop scalable approaches to project intake, prioritization, resource planning, and tracking in partnership with the Senior PM.
- Participate in resourcing, traffic, and workflow planning meetings to ensure appropriate staffing and project sequencing.
- Monitor team capacity and proactively identify potential conflicts or delivery risks.
- Support leadership with visibility into project health, resource utilization, and delivery forecasts.
- Build trusted working relationships with internal and external stakeholders at all levels of the organization.
- Support account teams in managing expectations, scope adjustments, and delivery commitments.
- Deliver seamless communication via multi-channel platforms both internally and with clients.
- Foster a collaborative, positive, and accountable project environment; lead by example through strong organization, communication, and follow-through.
- Encourage continuous improvement and knowledge sharing; contribute to agency initiatives that strengthen operational excellence and business performance.
Qualifications
- 2-3 years of experience in project management or a similar role, preferably within a creative agency environment.
- Excellent communication and interpersonal skills.
- Strong organizational skills and ability to manage multiple projects simultaneously.
- A proactive approach to problem-solving and the ability to work effectively in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools such as Teamwork or similar platforms.
- Ability to work collaboratively with cross-functional teams and build strong relationships.
- Flexible and adaptable to change with a positive attitude and willingness to take on new challenges.
Pay
$65,000 - $70,000 USD per year (New York, NY).
