About the role
The Project Executive (PX) is responsible for the timely completion and profitability of major corporate accounts and/or multiple corporate projects, serving as the leader of all Structure Tone personnel involved. As the main point of contact for the owner, the PX creates and maintains positive relations with the project owner, owner’s tenants, and all professional groups involved in the project, while ensuring all operational responsibilities are appropriately completed.
Responsibilities
- Monitor day-to-day project activity to track schedule and construction progress, coordinating with the local STO office or alliance partner.
- Notify the Regional Vice President of any changes that significantly impact project completion date, cost, or quality.
- Complete all project reports accurately and on time, including Project Status Reports, financial reports, and project schedules.
- Lead team meetings to review project progress and ensure safety meetings and minutes are documented in project files.
- Perform final reviews of construction projects, including bid documents, bid procedures, subcontractor/vendor/third-party GC qualifications, and final estimates, labor, and material takeoffs.
- Review RFPs as necessary for pre-purchasing equipment and/or retaining contractors or subcontractors.
- Procure all materials and subcontractors in accordance with established procurement policies and procedures.
- Identify changes in scope and ensure a proper change order is produced by Estimating/alliance partner; present changes or budget revisions to the client and follow up on approvals.
- Close out projects by submitting all warranty information, affidavits, record drawings, final retainage payments, releases, and accounting-related documents.
- Conduct lessons-learned sessions with the client and construction team at project completion, producing a summary document for future application.
- Review subcontractor/vendor invoices for approval, reduction, or rejection; maintain working relationships with clients, subcontractors, architects, and engineers.
- Track collections and receivables, attending collections meetings; review applications for payment prior to issuance to the client.
- Meet with the client to approve progress payments and change orders; manage client relationships to generate repeat business.
- Understand the client’s business plan, strategic direction, and the impact on short- and long-term construction management opportunities.
- Identify and capitalize on opportunities to increase profitability through bidding, procurement, and construction methods.
- Pursue opportunities to provide value-added pre-construction, design-build, or facilities management consulting services in addition to construction management.
- Build relationships with decision-makers within client organizations and network professionally and socially to identify new work leads, future project team contacts, and potential candidates for construction management positions.
- Understand project contracts and associated risks to Structure Tone; coordinate all construction management responsibilities with regional offices or alliance partners.
Primary Accountabilities
- Ensure contract/RFP understanding and due diligence; implement and maintain compliance.
- Lead pre-construction efforts, including scope development and proactive team leadership, while maintaining focus on details and the big picture.
- Participate in value engineering processes and rider management; critique plans and offer suggestions and direction.
- Manage billing, collections, and deposits with timely billing, diligent collections, and up-front deposit requests.
- Track and understand general conditions to improve projection accuracy; ensure successful G.C. claim presentations.
- Control change orders on a weekly basis, ensuring quality assurance and timeliness in coordination with Estimating and the Estimating Department Head.
- Manage insurance requirements with clients, subs, and up-front determinations; coordinate with management to determine the best insurance program for the project.
- Hold regular team meetings for the benefit of all team members.
- Ensure timely job close-outs and purges; track jobs from initial permits through all sign-offs.
- Manage punchlists to ensure completion and sign-off; take appropriate measures as needed.
- Maintain relationships with current and former clients through phone, meetings, or social contact.
Requirements
- Bachelor of Science in Construction or a related field, or equivalent job experience.
- Minimum 10 to 15 years of commercial general contractor project management experience.
- Excellent computer skills, including proficiency in Excel, Word, and MS Project.
- Ability to meet and professionally engage with owners and architects.
- Ability to conduct business with subcontractors and vendors in a professional manner.
- Strong understanding of financial management and analysis.
- Excellent written and verbal communication skills.
