About The Role

The Project Coordinator supports project execution activities for lighting, switchgear/electrical distribution products, and related electrical components. This role assists with documentation, order tracking, customer communication, scheduling coordination, and vendor follow-up to enable successful project delivery. The Project Coordinator interfaces with sales, customers, manufacturers, and internal teams to ensure clarity and timely execution of project requirements.

Responsibilities

  • Project Support & Documentation
    • Assist with quotes, BOM reviews, order entry, and project documentation.
    • Track order status, lead times, delivery milestones, and shipment updates.
    • Request, organize, and distribute submittals, drawings, and product documentation.
    • Confirm product availability, substitutions, alternates, and lead times with vendors.
    • Monitor status of approvals, releases, and required documentation.
  • Customer & Vendor Communication
    • Respond to routine customer inquiries and status requests.
    • Coordinate with manufacturers regarding product details, documentation, and dates.
    • Support sales, PMs, and inside teams with communication and follow-up needs.
    • Ensure clarity on project expectations, timelines, and product delivery requirements.
  • Scheduling & Coordination
    • Assist with release schedules, delivery coordination, and field requirements.
    • Document schedule updates, delays, and impact changes for PM review.
    • Coordinate with warehouse, logistics, and purchasing teams to support delivery plans.
    • Verify jobsite readiness for material delivery when required.
  • Documentation Quality & Tracking
    • Maintain accurate project files, correspondence, submittals, and logs.
    • Update internal systems with project documentation, order status, and notes.
    • Support RFI creation, alternates, and clarification requests as needed.
    • Assist with post-release documentation including warranty support and closeout packages.

Requirements

  • Education: High School Diploma or GED.
  • Experience: 0–2 years experience in project coordination, customer service, or related electrical/construction environments.
  • Familiarity with electrical components, lighting, and/or switchgear preferred but not required.
  • Strong organizational and communication skills.
  • Ability to manage documentation, scheduling, and follow-up tasks with accuracy.
  • Proficiency with Microsoft Office (Excel, Outlook, Word) and comfort with ERP or order tracking tools.

Preferred Qualifications

  • Experience in electrical distribution, construction, or industrial material environments.
  • Ability to read drawings, schedules, or specifications (training available).
  • Prior experience in vendor or customer support roles.

Essential Job Functions

  • Lifting/Carrying: Occasionally required to lift and carry office materials, files, or supplies weighing up to 20 pounds.
  • Sitting/Standing/Walking: Prolonged periods of sitting at a desk using a computer; occasional standing, walking, or moving between departments or meeting locations.
  • Reaching/Handling: Regular reaching, grasping, and handling of office materials; frequent use of hands and fingers for keyboarding, writing, filing, and operating office equipment.
  • Vision: Specific vision abilities include close vision and the ability to adjust focus, necessary for reading documents, using a computer, and reviewing documents.
  • Hearing/Speaking: Ability to communicate clearly and effectively in person, by phone, and in virtual/video meetings; ability to hear instructions and interact with team members and customers.
  • Environmental Conditions: Work performed primarily in a professional office environment with minimal exposure to adverse conditions. May occasionally involve travel to other company sites, vendor locations, or offsite meetings.
  • PPE Use: Generally not required; however, may occasionally be necessary depending on location (e.g., close-toed shoes, high-visibility vest when visiting the warehouse).
